Office Coordinator / Paralegal Duties: Assists with onboarding and integration of new staff and attorneys. Provides oversight for non-attorney staff. Organizes coverage for scheduled and unscheduled staff absences. Assists with trade show planning and logistics; provides general assistance with business development activities. Updates office procedure manual as required. Works collaboratively with the IT team to resolve technical issues that may occur in the office. Maintains schedule and sets up conference rooms and visitor offices; manage catering requests for client and other meetings. Coordinates with building management on day-to-day issues such as building security, HVAC, monthly parking and validations, emergency preparedness and general tenant issues. Coordinates the purchase of routine office supplies and concessions with approved vendors. Coordinates daily mail sorting - both incoming and outgoing; arranges for courier and/or messenger pickups and deliveries, as needed. Assists with organizing coverage for scheduled and unscheduled staff absences. Additional office administrative duties as assigned. Demonstrated effectiveness at obtaining and managing client documents, including electronic data, and determining potential existence of documents that may be relevant to each case. Regularly conduct litigation, criminal, and civil background checks and obtains properly authenticated records as needed. Effectively and regularly drafts for attorney review: removal documents, certificates of interested parties, answers, initial disclosures, various motions and orders, scheduling orders, protective orders, deposition notices, affidavits and declarations, discovery and our responses to discovery, settlement agreements, dismissal documents for attorney review, etc. Assists with preparation of motions for summary judgment; checking deposition cites, assembling exhibits, and creating the appendix. Consistently and accurately identify and prepare all documents for production including bates labeling and redacting for privileged and confidential information. Effectively assists in preparation for trial including managing exhibits and all evidentiary matters, witness lists, files and subpoenas, coordinates and attends witness prep meetings; assists at trial. Conducts online research and able to utilize the firm’s electronic resources efficiently and effectively. Able to juggle multiple assignments and/or deadlines while maintaining a professional demeanor and timely seeks assistance when needed. Willing and capable to offer assistance to others when needed. Reviews and ensures accuracy of vendor invoices; timely submits invoices to office manager for processing.
Qualification and Experience
Qualifications: 5+ years of experience as a legal secretary and 5 years of experience in a legal or professional services firm. Advanced working knowledge of Word, Excel, PowerPoint and Outlook. Ability to develop, implement and maintain systems to promote organization and efficiency. Ability to apply and/or communicate knowledge of client-specific billing guidelines and restrictions. Ability to adapt to fluctuations in workload and changes in responsibilities. Working knowledge of court e-Filing requirements (e.g., Pacer, ECF). Demonstrates strategic thinking, problem solving and decision-making skills. Excellent verbal and written communication skills. Consistently arrives at work and to meetings on time and prepared. Responds promptly to attorney and client requests for service and assistance. Results-oriented, commits to the hours necessary to complete assignments. Approaches others in a tactful and respectful manner; reacts well under pressure. Contributes to building a positive team spirit; supports everyone’s efforts to succeed; maintains a positive “can do” attitude.
