Administrative Assistant / HR The candidate will assist with updating job listings, applicant/resume tracking, and ongoing communications with applicants and candidates. Will administer applicant testing (all admin staff and some legal pros). Arrange and communicate about changing interview schedules and interviewing materials with in-house interviewers. Prepare, update and keep hiring materials organized. Perform employment verifications and initiate background checks for new hires. Handle eOnboarding communications and follow ups with new employees. Order/track office products for HR as needed. Administrative support for Firm Directors. Prepare and process and track expenses/reimbursements for Directors. Rreview/process vendor invoices. Correspondence, mail merge emails, meeting planning/minutes, high level support and special projects as requested. Administrative support for HR Department. Electronic filing/uploading docs into HR database and ePersonnel files (work with vendor to organize and finish the project). Maintain the Firm’s e-Bulletin Board, postings to the HR Intranet pages and the ADP HR Portal pages. Online research re all kinds of topics as needed. Update/maintain the firm’s monthly calendar of events and annual payroll calendar. Assist with performance evaluation spreadsheets and processes. Draft and/or Finalize Power Point Presentations. Paper filing and HR file room maintenance. Prepare EE Termination paperwork and files, and help with separations on the day of special information audit projects as needed. Assist with Firm Events. track and prepare EE longevity activities. Help plan and set up meetings and training meetings. Assist with keeping federal and state posters updated. Learn Smart Benefits (transportation benefit) monthly activities and trouble-shooting. College degree preferred, 2-3 years of administrative support is needed. Proficient knowledge and use of MS Word, Excel, PowerPoint and other applicable software applications are needed. Excellent verbal and written communication skills are needed.
