Legal Administrative Assistant DUTIES: Demonstrates competence in the operation of computer applications, specifically Word XP, Outlook, IManage, Excel, and CD Entry, and other firm software, as required. Prepares legal documents from written and oral drafts and dictation; creates drafts and standard correspondence, as required. Files pleadings with U.S. District Court (Texas and nationally), and Texas State Courts. Receives clients and visitors; maintains good public relations with clients; observes confidentiality of attorney-client relationships. Screens incoming telephone calls and provides assistance, and/or records messages. Reads, sorts and dates incoming mail. Ensures that outgoing mail is timely delivered. If necessary, routes mail to specified delivery services, and follows up on timely delivery. Establishes and maintains calendar and deadline reminder systems. Opens new files, requests conflict of interest checks with file room records, and maintains all client and general files; conducts periodic review for possible scanning of older files; prepares files to be closed. Makes appointments and travel itineraries for attorneys. Processes bills; proofs billing sheets; reviews and edits bills. Works closely with administrative support staff (office services, word processing, accounting, IT); ensures that attorney time is accurately input into CD Entry in a timely manner. Performs legal assistant duties, as required. Performs overflow typing, filing, photocopying, or reception relief as time permits and as requested by other attorneys, the Chief Human Resources Officer or the Office Manager.
Qualification and Experience
Qualifications: Perform basic arithmetic calculations when verifying calculations on forms and documents; maintains records and filing systems at a level normally acquired through completion of high school or equivalent. 3-5 years on the job general litigation experience necessary in order to produce accurate litigation documents and correspondence with minimal supervision. Familiar with Texas District Court and Texas State Court filing guidelines, judges’ preferences and fees. Additional U.S. District Courts, a plus. Ability to transcribe legal documents, correspondence and reports from rough draft or dictation at a level of 70 wpm with minimal errors. Ability to organize and prioritize numerous tasks and complete them within established time constraints. Consult with attorneys when priorities conflict. Interpersonal skills necessary to communicate and follow instructions effectively from a diverse group of clients, attorneys and staff to provide information with ordinary courtesy and tact. Ability to produce a high volume of work and to prioritize tasks while performing other essential duties. Work occasionally requires a high level of mental effort and strain while producing a high volume of information performing other essential duties. Ability to proof and perform minor editing (e.g., punctuation, grammar, spelling) of routine law office correspondence and legal case matters.
