Billing Coordinator Role The primary responsibilities of this position are to enter weekly billing in an accurate and timely manner as well as have the ability to make edits, monitor processing and make timely appeals. Responsibilities Execute, handle, and process a high volume of complex bills. Review, analyze and ensure compliance with client’s Outside Counsel Billing Guidelines. Document and update Partner & client billing protocols as needed. eBilling: extensive knowledge & experience with eBilling vendors (TyMetrix 360, CounselLink, Collaborati, Legal Tracker (Serengeti), Collaboration Portal (Passport), Bottom-line Legal Exchange); submit timekeeper rates for all of our eBilling sites; complete new client set-ups with eBilling vendors; review and manage the eBilling invoice rejections and work with Billers to resubmit; help manage eBilling vendor invoices for payment. Run weekly invoice rejection reports to share with all Billers & coordinate follow-up. Assist with follow up on partially paid invoices to assure the firm collects A/R in full; consistently “clean-up” stale time/uncollectable amounts and obtain necessary authorization for write-offs in accordance with firm policy. Troubleshoot client invoice related issues, such as e-billing questions/problems, etc. Respond to client inquiries/questions in a timely manner and escalate issues as needed to Supervisor as needed. Provide coverage during absence of other team members. Confirm compliance with the firm’s accounting, billing and collection policies and controls and ensure integrity of the firm’s financial and operating information. Prepare various reports and analyses, as requested. Other responsibilities within the billing/collection function as they may be assigned from time-to-time. Completing projects on various issues when needed.
