Paralegal The candidate will assists Paralegal Manager with billable and nonbillable projects as needed. Assists with tracking and organization of matters for General Counsel. Reviews electronic and paper outgoing files for content for file transfers. Assists Paralegal Manager with planning and coordination of various firm and departmental initiatives and events. Identifies process improvements and challenges in existing business/system processes in order to improve effectiveness, productivity and profitability, and improve work product quality and utilization. Approves time cards and follows up on unverified or inaccurate time cards. Gathers and compiles data for performance reviews. Proofreads policies, plans, job descriptions, and other documents as needed for the paralegal manager. Assists with monitoring workloads and delegating projects. Assists paralegal manager with creating and distributing checklists, protocols, policies, and similar documents. Coordinates with outside vendors regarding services and projects. Provides paralegal manager with financial and statistical reports and other data as requested. Maintains out of office calendar for paralegals and ensures appropriate coverage is planned for timekeeper and staff vacations and leave as directed by the paralegal manager. Organizes and maintains electronic files. Collects and distributes information regarding continuing legal education seminars and encourages professional development through professional affiliations. Tracks paralegal and litigation support professional CLE attendance. As with most positions, performs additional duties and participates in projects as requested. Adapts to changing priorities and remains flexible to meet client, attorney, and team needs while maintaining a positive attitude and composure. Demonstrated willingness to learn and think outside the box is imperative. Communicates effectively verbally and in writing across all practice groups and with clients, vendors, and other outside resources, including professional grammar, editing, and spelling. Team player who can work both independently or collaboratively and recognize which is most appropriate; contributes to a positive team and working environment by avoiding gossip and other counterproductive activities. Involves the appropriate people in the decision-making process. Identifies and resolves problems in a timely manner; works well with other departments on solving problems. Strives to continuously build knowledge and skills; imparts knowledge and expertise to others, and seeks out professional development opportunities with guidance of paralegal manager. Strong attention to detail even under time pressures. Good understanding of legal terminology. Responds timely and effectively in a team atmosphere, including effective prioritization of responsibilities. Follows firm and departmental policies and procedures, completes work in a timely manner or communicates alternate plan in a timely manner. Follows instructions, responds to management direction, and ensures work responsibilities are covered when absent. Excellent knowledge and understanding of legal workflows and processes across practice groups or willingness to obtain such knowledge and understanding. Willingness to work a flexible schedule and overtime on occasion, including occasional travel such as for the biennial paralegal retreat. Understanding of various eFiling processes and requirements is helpful. Ability to research rules, procedures, and requirements to assist paralegals with project demands. Willingness and ability to speak before groups to announce events in absence of paralegal manager. The ideal candidate is a highly-motivated, organized individual with superior analytical ability, judgment, and research skills as well as the desire to provide exceptional internal and external client service. Must be a self-starter with a proven track record as a problem solver. Must also enjoy a team approach and come to work with a positive, can-do attitude. Outstanding technology literacy and knowledge of various legal practice areas is highly desired. Litigation background is helpful, but experience in other areas of law is also useful. Specific education and other required experience include: Bachelor’s or Associate’s degree in paralegal or legal studies from regionally accredited college or university preferred; 60 semester unit paralegal certificate may be considered. Must have 10 years of experience as a paralegal with significantly more complex duties than document management alone. Experience working with others in geographically dispersed offices is desired. Proven professionalism and well-developed interpersonal skills that provide a basis for strong and productive working relationships with all levels around the firm and a wide range of interpersonal styles is necessary. Experience with handling and maintaining the confidentiality of highly sensitive and confidential information is imperative. Outstanding technology aptitude and literacy, including but not limited to the complete Microsoft Office Suite; PDF compilation programs; file management systems (DeskSite/iManage); time tracking software, e-Discovery platforms or other databases, case management programs, research platforms, video editing programs, and web capture software or aptitude and willingness to learn is required.
