Legal Assistant Duties: Manage a high volume of work with multiple clients and cases. Concurrent responsibilities of receptionist, legal secretary, legal assistant, and paralegal. General office reception and answering phone including documenting calls in the appropriate case files. Case intake and evaluation. File inbound documents including scanning, paper filing, and in-house electronic filing. Obtain medical records, medical bills, and follow up on document requests. Creation/Maintenance of detailed medical bill summary spreadsheets including payments and write-offs. Review medical records. Draft demand letters, assemble discovery, and organize mailings. Draft discovery responses and requests. Draft other general correspondence as needed. Organize service of pleadings by mail. Print and assemble 500-2500 page trial notebooks for attorney and experts. Follow up with clients for additional information as needed. Keep track of time worked for both payroll and attorneyâ€™s fee claims. Scan and archive closed files.
Qualification and Experience
Qualifications: Previous work history as administrative assistant, legal secretary, legal assistant, paralegal is strongly preferred. Excellent interpersonal skills as this role communicates regularly with clients, medical offices, insurance companies, and other key stakeholders. Excellent written and verbal communication skills including written communication that is clear, concise, and easy to digest. Demonstrated skill in problem solving and navigating ambiguous situations. Ability to work independently, take initiative, and own the completion of projects including organization and follow through of tasks with minimal supervision. Ability to maintain composure during stressful situations. Ability to identify mistakes and propose resolutions. Strong time management and ability to determine and manage manage priorities across multiple cases and projects. Skilled in Word, Excel, and Acrobat. Proven track record of excelling in a work environment with competing time pressures who is highly motivated to do good work in a timely manner.
