Legal Assistant Duties: Support 2 to 4 principals (attorneys) by anticipating their needs based on respective caseloads and personality traits as well as the Firms overall needs and by maintaining client and principal confidence particularly as to information, records, and reports. Communicating with staff members including partners and managers, clients, lawyers, court personnel, and other third parties in writing and orally; screening telephone calls and general emails; functioning as liaison for principals; proactively keeping clients apprised of their case status and obtaining status updates; scheduling appointments; preparing principals for appointments and appearances; filing administrative and case documents in-house; typing documents from notes and dictation; taking minutes; managing principals computerized and manual calendars; formatting documents; creating and maintaining forms; maintaining principals billing time records; drafting routine correspondence and reports; preparing initial drafts of legal documents; scheduling administrative meetings; assisting records and paralegal staff in maintaining case indexes; coordinating efforts with records and calendar clerks; proofreading and editing text; making typographical and formatting revisions; assisting in social events; handling travel and meeting arrangements; and training and supervising junior or administrative staff.

Qualification and Experience

Requirements: Experience in diverse areas and responsibilities in an office environment, particularly in a professional service firm (law firm, doctors office, architectural firm, accounting firm, etc.). 1+ years' experience supporting multiple principals concurrently and 1-2 years of progressively responsible work experience as either legal assistant, research assistant, medical assistant, real estate assistant, administrative assistant, personal assistant (with technical or administrative duties), receptionist, or related position is needed. Candidates must be open to instruction and able to learn and apply new software and procedures quickly as we cover many areas of law quickly. Due to the administrative support function, some mathematical and accounting skills are required. Candidate must have flexibility to work occasional overtime. Should be able to work well consistently under pressure in a fast-paced, high-pressured environment and to remain calm yet responsive under pressure. Must manage and complete a high volume of tasks for concurrent projects and cases with changing and competing priorities under significant time constraints. Must be able to remain productive, organized, and structured within a highly social and dynamic environment and understand office protocol. We expect selected candidates to become part of the Firms family. Must have writing, time and calendar management, notetaking, active listening comprehension, reading comprehension, and organizational skills coupled with the ability to be persistent, resourceful, flexible, adaptable, a self-starter, a strong problem-solver, a quick and analytical thinker, detailed-oriented, articulate, an excellent multi-tasker.
