Legal Assistant II - Civil Division The candidate under limited supervision provides administrative and paralegal support to City Attorney and Assistant City Attorneys. Provides support to the Risk Management Specialist. May supervise other clerical staff as assigned. Drafts letters, motions, affidavits, and offers for cases from brief instructions or notes. Verifies edits, and formats documents and correspondence that include proprietary and confidential information. Coordinates the office operations of the City Attorney's Office. Develops office forms and procedures and assists with administrative tasks involving personnel, budgeting, and facilities. Drafts and reviews pleadings and complaints. Makes recommendations for case management and filing procedures. Prepares and maintains ordinances, resolutions, and civil litigation files and agreements. Organizes and directs the work of lower classified employees; prepares payroll and monitors sick and vacation leave accounts. Prepares claims for Department expenses. Arranges travel accommodations and prepares travel claims for the attorneys. Performs legal research and drafts statistical and narrative reports. Provides assistance and information to the public and other city departments. Logs and monitors work requests from the Mayor, City Council and other departments. May serve as back-up administrative support to the Prosecution division as needed. Provides support to the Risk Management Specialist as needed. Compiles data from a variety of sources and prepares summary reports as directed. May involve statistical calculations and tabulations in accordance with established formulas. Maintains confidentiality of work-related issues, client records, and City information. Answers phones and performs receptionist duties as needed. Performs related work as assigned and/or required.

Qualification and Experience

The candidate should have Two years of college or technical school and 5 years' experience providing legal administrative and paralegal support with progressively responsible experience or any combination of education and experience which provides the required knowledge, skill and ability to perform the work. Paralegal certification and experience desirable. Must have knowledge of: Legal forms and procedures. Standard office practices. Principles and practices of office management and work organization. Municipal Court, Superior Court and Court of Appeals procedures and functions. Business English, composition, spelling, grammar and punctuation. Should have ability to: Work independently and make responsible decisions in accordance with court polices and procedures. Organize and prioritize work. Express ideas clearly and concisely in writing and orally. Establish effective working relationships with co-workers, other departments, and the general public. Analyze complex office problems and develop solutions. Must have skill in: Multitasking and prioritizing work. Maintaining a high degree of attention to detail.
