Legal Assistant Duties: Functions as a key component in the delivery of excellent client service by providing administrative support to an assigned group of attorneys. Will have constant client contact and may occasionally participate in client meetings, as needed. Provide administrative support for attorneys. Scheduling appointments, providing information to callers, transcribing dictation, composing and typing routine correspondence, reading and routing incoming mail. Work effectively with attorneys and coworkers to provide superior service to all clients and to complete all assigned tasks with excellence. Ensure that all work product is finalized in a manner that reflects quality, accuracy and professionalism. Assist attorneys in preparation for hearings and trials, communicating and scheduling with court staff as needed. Organize, index and track files. Createroutine legal documents, make revisions and finalize, as instructed. File/route correspondence and legal documents in office filing system, ensuring the name and matter ID # is noted on all physical and electronic documents. ProFile and monitor email traffic and organize as appropriate in both physical and electronic files. Set follow-up reminders (docketing, calendaring, ticklers, etc.) for all action items required for each matter. Ensure that conference rooms are scheduled as needed, and returned to â€œgood to goâ€ status when meetings are concluded. Ensure proper indexing and filing of original legal documents. Embrace and champion changes in your area that will improve the client experience and/or the firmâ€™s ability to deliver on its values and commitments. Work collaboratively with all members of your team and across teams to create an environment that fosters trust, accountability, and respect. Works closely with attorneys, other paralegals, and legal assistants. Communicates with clients on a regular basis. Interacts regularly with other support and administrative staff throughout the firm. Communicates with court clerks and other officials, legal service vendors or opposing counsel.
Qualification and Experience
Qualifications: Associate Degrees or some college is desired. 1-2 years' previous experience in a legal office environment. Familiarity with legal databases, e.g. Westlaw. Familiarity with ProLaw or similar Legal Documentation systems. Ability to set and manage goals, timelines and priorities, follow up on tasks, and perform on deadline, often under time constraints and other stressors. Ability to work and problem solve independently and apply logic to complex situations. Excellent organizational and time management skills, including the ability to handle multiple tasks simultaneously. Ability to communicate effectively and professionally at all levels, both verbally and in writing. Strong interpersonal skills and ease with both telephone and in-person contacts. Teamwork orientation.
