Executive Assistant The candidate will provide high level administrative support to the SVP, Intellectual Property (who reports directly to the CEO), and IP and Innovation team for Nagra IP, a Kudelski Group company. Will provide high level administrative and project management support to the SVP, Intellectual Property (who reports directly to the CEO), and IP and Innovation team. Provide high level administrative support to the SVP, IP and IP team members including complex calendar and scheduling in Outlook and preparing for and setting up meetings including video conferences, internal meetings, customer meetings, and conference calls. Coordinate complex domestic and international travel in a cost-efficient manner ensuring the highest level of service and using internal travel management resources and act as the key contact for/with the Executive and team members while traveling. Coordinate meetings and special events including agenda creation, logistics, and catering. Create, format, and file documents electronically including letters, memos, trip reports, itineraries, status reports, spreadsheets (Excel), and other related documents. Manage confidential business files. Responsible for researching relevant or industry-specific data/information (via internet, intranet, internal resources, etc.) and drafting/composition of reports and memos. Coordinate with the legal department to track and maintain internal records, including non-disclosure and licensing agreements, and other legal documents. Develop and improve PowerPoint presentations and other materials for the SVP. Search and obtain records and other documentation from various legal databases. Maintain a detailed list of projects, deals, business processes and associated actions across the core and extended teams and maintain a system of follow up and support to ensure actions are completed on time and at the appropriate level of quality.

Qualification and Experience

The candidate should preferably have College degree with 7+ years demonstrated experience in an executive assistant position. Project management, paralegal, and/or legal secretary experience is desirable. Experience in a patent and/or licensing environment within a law firm or corporate IP/legal department is a plus. Professional demeanor, high integrity and passion for work, must have experience in a high profile, dynamic team environment is essential. Excellent drafting and oral and written communications skill is essential. Proficiency in Microsoft Office Suite is essential. Fluent in English essential, a working knowledge of French is helpful.
