Profile

Legal Administrative Assistant Duties: Provides administrative support to the Immigration Legal Services team, including the Managing Attorney, staff attorneys, Pro Bono Coordinator, ILS volunteers and the Center as a whole, as needed. Answers and returns phone calls, takes messages, greets clients and visitors, responds to general inquiries in a fast paced environment. Assigns and oversees volunteers assisting with clerical and administrative tasks. Handles written correspondence; files documents and maintains filing system; and makes photocopies. Distributes incoming mail to staff and processes outgoing mail. Keeps track of office inventory, orders all supplies, and maintains office machinery in good working order. Maintains organized reception area, file room, storage room, and office supply closet. Maintains office accounting records and procedures. Prepares and processes invoices, check requests, field expense vouchers and client reimbursement. Submits appropriate HR and IT forms for new staff and volunteers. Participates in trainings, meetings and workshops offered. Maintains client account funds, manages client payments and donations Assists attorneys and paralegals in case management tasks such as assembling documents and preparing necessary papers as needed. May assist attorneys in client correspondence, translating documents and interpreting.

Qualification and Experience

Qualifications: Bachelor's Degree is required. 3-4 years related experience. Bilingual - Spanish speaking mandatory. Associates Degree in Paralegal Studies, Administration, Business or related degree and 2 years of secretarial/administrative support experience or equivalent combination of education and experience. Experience working in a legal environment preferred. Knowledge of legal terminology preferred. Must have excellent computer skills and experience with Microsoft Office Suite and e-mail and internet technology. Ability to learn database software required. Knowledge of Lawlogix helpful. Excellent verbal and written communication skills required. Bilingual in English and Spanish required. Must be able to prioritize varied work load and interact with clients, volunteers, staff and visitors.
