Paralegal
Responsibilities: Contributes to patient safety by supporting the System-wide programs and policies addressing a safe environment for patients and the reporting of safety concerns to the appropriate individuals. Performs a variety of duties for the Legal Department – independently and in conjunction with the attorneys and other departments – including: Receiving, processing, and responding to requests for public records in compliance with Ohio law and System policy. Maintaining public records request tracking system to monitor timely review and response from the System. Ensuring public records request procedures and other relevant information is current on the System website and any other places in which the System posts public information. Planning, coordinating, and supporting the records retention program for the System. Working closely with System Information Services to retain, produce, and dispose of electronic records. Supporting the contract management processes of the System, including ensuring that contracts are appropriately and efficiently entered into the System’s contract management database and providing reports to monitor contract management activities. Supporting the compliance monitoring of System contracts. Supporting contract drafting and coordinating changes in documents. Performing intake, tracking, processing, and coordination of efforts to respond to subpoenas, court orders and other jurisdictional records requests received by the System. Assisting various departments of the System with maintaining and retrieving pertinent records of the organization. (i.e. files for interns, residents, fellow, staff physicians, nursing students, nurse practitioners, and other public records). Performing legal, statutory, case law and miscellaneous research related activities. Generating necessary reports, including graphs, tables and statistical summaries. Preparing and gathering necessary information for meetings. Triaging client inquiries and communicating items to the appropriate attorney. Supporting special projects. Coordinates and ensures the timely completion of special projects by: Performing supplementary research. Gathering historical data. Tracking workflow, preparing reports, and providing recommendations. Supports the attorneys in handling day-to-day areas of assignment. Prepares correspondence, memoranda, and reports, often complex and confidential in nature. Displays sensitivity to and understanding of various cultural, ethnic, racial, and socioeconomic backgrounds. Performs other functionally related duties as assigned.

Qualification and Experience

Qualifications: Completion of a paralegal program or equivalent education (including library science or library studies). In lieu of degree, any equivalent combination of education, training, and experience in addition to experience stated below. 3+ years of legal office or records management experience. Experience with information management systems and/or filing systems. Demonstrated proficiency with Microsoft Office and Microsoft Office forms. Knowledge of database management and spread sheets. Working knowledge of document management technologies. Excellent communication and interpersonal skills. Must be self-directed and able to accept increasing levels of responsibility. Ability to work independently and with others. Ability to interact effectively with a wide range of cultural, ethnic, racial, and socioeconomic backgrounds.
Preferred: Associates or Bachelor’s Degree. Possess and maintains current notary public licensure. Efficiency in Adobe Acrobat forms design and management.
