Litigation Process Manager The candidate will manage Compliance Coordinators responsible for processing litigation to ensure all standards of productivity, timeliness, quality, and service are continuously achieved and exceeded. Develop policies and procedures to ensure the accuracy of the litigation processing process. Ensure team adherence to all established policies and procedures for processing litigation. Handle escalated litigation items and process non-routine litigation as time allows. Provide assistance and direction to staff on the resolution of escalated/complex items of litigation. Perform training activities. Prepare reports on production and litigation trends by the program manager. Collaborate with managers and auditors on quality and audit issues related to litigation. Coordinate with attorneys on the handling of litigation items as appropriate. Supervise individual contributors who open and sort claim/litigation correspondence and manager of a team that reviews the correspondence to identify which of 100+ current and former customers is the correct recipient. Implement and perform various control/audit functions to ensure the accuracy of the process. Identify process gaps and propose solutions. Analyze the efficiency and effectiveness of business processes to spot trends, areas of concern, and root causes. Liaise with client services and IT teams to enhance the effectiveness of the digital portal through which 35,000+ pieces of correspondence are routed annually. Prepare regular reporting regarding team output, processing time, and review times. Develop processes for execution by team, including process flows, best practices, guidelines, and escalation indications. Create and update process and procedure policies. Serve as a resource for the identification of non-routine correspondence. Determine when to escalate issues to an attorney. Interface with external customers regarding process queries. Act as the initial point of contact for internal customers’ legal questions and requests, escalating to attorneys as needed. Take direction from and coordinate closely with department attorneys regarding activities, results of efforts, and problems identified. Draft and/or generate routine communications; coordinate production (formatting, copying, etc.) and dissemination of documents, such as presentations. Maintain the integrity of file management systems, including classifying, arranging, retrieving, and storing information in both electronic and hard copy formats. Assist in routine matters, as needed.
Qualification and ExperienceThe candidate should have Bachelor’s degree and Paralegal Certification is preferred. Should preferably have 5+ years of relevant experience. Should have experience both managing a process, such as litigation process oversight within a law office, and have experience managing direct reports. Must be proficient in computer skills and demonstrated experience with office software and email applications, PowerPoint skills are strongly preferred. ImageRight skills preferred. Must have supervision and management of teams, excellent analytical and troubleshooting skills, and exceptional attention to detail. Must have demonstrated success in following through and completing tasks, strong organizational skills, and strong verbal and written communication skills. Must have excellent customer service and interpersonal skills, and the ability to prioritize and multi-task.
