Service Business Operations Administrator The candidate will be responsible for a wide range of functions that include coordination, administration, liaison work, licensing, compliance work, and supervision. Will lead the evaluation, communication, execution of, and compliance with service operation's legal contracts. Create, modify, or negotiate language within pre-determined parameters consistent with firm and JSOX policy to include business licenses, leases, property and renter's insurance, contractors, and certificates. Communicate the contract execution process, obtain approvals and signatures, to the established service district offices, and return required documents to the legal department. Manage the accounting and financial components of the firm Applied Fleet program in partnership with an established vendor. Manage online vendor registrations when firm Applied is a vendor of a building owner. Manage online compliance with ACH forms, e-Verify Affidavits, vendor questionnaires, pre-qualification forms, insurance, and safety documents. Act as the liaison between service, legal, customers, and corporate credit to ensure all parties are informed of current business processes, payment terms conform with contract language, and appropriate levels of authority are made aware of actions that require attention. Manage bond requests. Provide customers with requested documents including evidence of insurance. Assist with third party compliance registration involving corporate information and data; respond to and work directly with customer or third party compliance entity. Directly supervise one to three employees in the administrative assistant or service coordinator role. Bachelor's Degree in Business Administration or legal studies required. Should have 5+ years or professional experience supporting a sales and service environment. Must have Expert-level proficiency in PowerPoint, Outlook, SharePoint, MS Word, Access and Excel. Should have previous experience working with contract compliance or licensing related work and interpreting legal documentation. Prior supervisory experience is preferred. Competitor experience in commercial HVAC industry experience desired. Paralegal certification or related licensure ideal.
