Intellectual Property Administrator The candidate will provide administrative support for the day-to-day aspects of our IP (patents and trademarks) portfolio. Will support two attorneys, an IP Specialist and the business on day-to-day IP portfolio administrative matters as well as handling copyright matters. Support prosecution and maintenance of patent portfolio, liaising with agents to complete formal matters, such as priority documents, POAs and assignments, in a timely manner. Submit US filings and prosecution electronically. Prepare, organize, and facilitate or direct file patent applications in the PCT, US and foreign jurisdictions. Handle and track Invention Disclosures. Coordinate with the business and attorneys to resolve payment of annuity fees, globally. Responsible for docketing global Patent and Trademark Office (â€œPTOâ€) due dates as provided by external agents and USPTO. Generating patent and trademark docket reports and handling all docket due dates to ensure instructions are sent to agents. Ensure IP dockets accurately reflect the status of the patent and trademark portfolios (including, de-docketing, moving, adding, creating etc. Actions. Help lead IP legal budget and process all invoices for the IP legal department, including crafting new billing matters. Setting up new vendors in electronic billing system and fielding all IP legal billing and invoice questions. Dedicatedly promote and recommend opportunities to simplify IP team processes and procedures to promote simpler and more efficient ways of working, lower costs and minimize risk associated with procuring and handling the IP portfolio. Provide support, mentorship and training to the business on copyright matters. Work directly with business to ensure compliance with copyright laws. Conduct training classes to educate the business on proper clearance of third party materials using DirectPath. Provide basic administrative support.
Qualification and Experience
The candidate should have Associates degree or Paralegal certificate with 5+ years of experience in patent preparation and prosecution, including interacting with global agents and internal clients. Must have experience in global patent prosecution, inclusive of electronic filings. Should have experience using online databases and internet resources (e.g. USPTO, EPO, Questel) for patent searching. Experience docketing trademark and patent due dates and leading a trademark portfolio a plus. Experience in copyrights and DirectPath a plus. Must be wqell organized with excellent attention to detail and excellent verbal and written communication skills. Should have ability to work independently and collaboratively to lead multiple, diverse projects in a fast-paced and dynamic environment, and dedicatedly communicate with the Chief IP Counsel and other legal team members when appropriate.
