Legal Assistant/Paralegal
Duties: Production and formatting of correspondence, legal documents and pleadings with supervision by attorney for small law firm specializing in business law, elder law, probate and estate planning/estate and trust administration. Use HotDocs to maintain data and produce documents for probate files. Gain familiarity with probate procedures and requirements. Directly interact with clients to gather necessary information. Real Estate Documents. Prepare deeds, leases, mortgages and other real estate documents. Knowledge of procedures for recording documents, obtaining title information, obtaining tax information. Business Documents. Prepare forms and documents related to corporations, LLCs and other business entities. Gain familiarity with commonly used forms and filing procedures. Trust and Estate Planning Documents. Assist with production of estate planning documents including Wills, Powers of Attorneys, Trusts. Gathering and entry of information into Database for document preparation. Obtain ongoing training. General Correspondence, Memos, Reports and Other Documents. Prepare documents as directed by attorney. Apply proper procedures for formatting and review of documents in final form. Email and Phone Communication as needed and assigned. Schedule and track deadlines related to your projects/cases. Share Reception and Phone support with other staff. Attend Client Signings and Meetings. Maintain neat, orderly appearance of all areas (Look at office through visitor’s eyes). Be aware of protecting client paperwork from view (screensavers, papers turned over, binder labels, etc). Follow opening and closing procedures for locking/unlocking doors, lights, coffee maker, etc. Display a friendly, courteous, professional demeanor at all times. Remember the importance of good phone skills, friendly, professional tone of voice. Continuous improvement of skills in communicating with clients, including those with complaints or under stress. Understand Client Confidentiality—especially in a small-town setting. Do not discuss any client matters outside of the office. Remember that clients may not want others to know they are a client, so be friendly but discreet when encountering clients in public. Be a good ambassador for the firm in your interactions with friends, family and public- know what service we provide and the importance of role to the delivery of excellent service. Keep others in the loop when have to be gone or away from your desk. Ask questions and ask for help whenever are unsure.

Qualification and Experience

Qualifications: High School or GED. Associates Degree Preferred. Prior experience with general office systems, software, procedures, and equipment. Prior clerical/office experience, training and/or education. Demonstrated Attention to Detail and Organization. Ability to interact professionally with co-workers and clients. Preference shall be given to those with a prior law office experience, particularly in the area of document preparation, and elder law/estate planning and administration. will be organized, have good phone etiquette, able to work independently and in a team environment, proficient in Microsoft Office, use a high degree of attention to detail, communicate with attorneys, clients and co-workers in a pleasant and efficient manner and are able to multitask in a deadline driven and fast-paced environment.
Preferred: Proficiency with Microsoft Office including and Excel, and Outlook. Prior law office experience.
