Senior IP Docket Specialist The candidate will provide detailed, accurate information on a daily basis to IP attorneys/agents and staff regarding information and deadlines. Assist the IP Docket team in order for the Docket Department to function effectively. Maintain the docket records according to established policies and procedures, performs all job functions relating to review of documents and exercises discretion and confidentiality in maintaining contact with clients, attorneys/agents and staff. Review, sort and distribute incoming mail from both U.S and foreign associates/agents in a timely manner and in accordance with established procedures. Provide guidance and respond to inquiries from the firm IP team of attorneys/agents and staff. Responsible for the docket clearance on a daily basis, including monitoring workflow and maintaining the integrity of the filings, in accordance with policies and procedures as outlined by the firm IP team. Maintain an accurate docket database, identifying and correcting any discrepancies or missing data, and provide reports as requested or required. Scan client and legal documents to the department electronic document management system. Process abandoned and/or inactive files. File all documents through the electronic filing system as well as hard copy files in their proper folders Provide second level review for docketing of specific dates in accordance with the department docketing procedures. Work closely with the Docket Coordinator and as a team member to meet the goals of the firm IP team. Maintain positive contact with attorneys/agents and staff and observe confidentiality of the company information. Responsible for accurate and complete docketing of documents that are received from US law firms, foreign government agencies and/or foreign associates and the removal of docket deadlines as completed or instructed. Work with the IP team to develop and implement docket policies and procedures in order to enhance user services while reducing risk. Assist as back-up to the Annuity Management System (AMS) to ensure timely payments of annuities and/or producing reports as required.
Qualification and Experience
The candidate must have High school degree or equivalent. Should preferably have College degree or equivalent specialized training, i.e., paralegal studies. Must have 2+ years of progressive Intellectual Property experience in order to gain a complete understanding of domestic/foreign patent, trademark and inter-parties matters. Working knowledge of docket software applications is required. Proficient in Microsoft Office Suite is needed. Computer proficiency and willingness and ability to learn other filing and patent software is must. Effective communication skills, both verbal and written is essential.
