ProfileAdministrative Legal Secretary- Criminal The candidate will be responsible for performing certain legal secretarial duties within the Criminal Section of the Legal Department. Essential functions, as defined under the Americans with Disabilities Act, may include any of the following representative duties, knowledge and skills. Types and checks for accuracy in correspondence, contracts, complaints, jury charges, ordinances, pleadings and other legal documents using computer. Prepares legal letters, researches bad addresses and prepares other related legal documents and forms. Indexes and organizes certain operational files and records in the prosecutor's office. Takes and transcribes dictation consiting of letters, reports, memos and other material. Performs receptionist and telephone answering duties in the Criminal Section of the Legal Department Office, communicates with attorneys' offices in references to trials, settings and offers. Provides information to the public concerning complaints, City and Legal Department procedures. Collects and organizes data for special legal reports, forms and summaries for attorneys in the prosecutor's office. Performs as a Notary Public. Contacts witnesses in cases, including victims and police officers- schedules appointments. Supports the departmental operations with regular and timely attendance. Supports the relationship between the organisation and the general public by demonstrating courteous and cooperative behavior when interacting with visitors and staff; maintains confidentiality of work-related issues and informaiton; Performs other duties as required or assigned of the Legal Department.
Qualification and Experience
A High School Diploma or GED Certification required. 2 years' progressively responsible secretarial and Legal office experience is needed.
Ability: Ability to compose routine letters and memoranda. Ability to make decisions in accordance with City and Department policies and regulations. Ability to deal with public relation problems and complaints courteously and tactfully. Possess and maintain necessary qualifications to be a notary public. Ability to use personal computer, software, dictating and phone equipment. Ability to speak Spanish is advantageous.
