Legal Support Assistant Responsibilities: Back-up reception for breaks, lunch, closing at the end of the day and cover reception when requested. Answer internal and external calls promptly, transfer callers, and page; greet clients; enter guests in building security system; reserve conference rooms and visitor offices for meetings and presentations in the firmâ€™s database. Send confirmation communication to the requestor of the reservation. Copy or coordinate copy/scan jobs with others to ensure accurate reproduction of documents. Print or coordinate print jobs with others to ensure accuracy; send faxes and e-mails; mail documents and packages via regular mail, overnight delivery or courier services. Assist Office Administrator with administrative tasks. Input and revise correspondence, documents, memoranda, time entries, and forms as requested. Proofread work for accuracy in spelling, grammar, context, and format. Input client contact information into contact databases. Prepare new client screening applications and conflict checks working with the attorney and client data management team. Perform clerical tasks related to creating, updating, maintaining, and preparing client files for offsite storage in accordance with established records management policies and procedures. Maintain decentralized file areas for assigned timekeepers as needed. Distribute, scan, and/or profile incoming mail for others as needed. Assist with timekeeper calendars, travel arrangements, scheduling meetings and requests for food services and audio visual equipment.
Qualification and Experience
Requirements: High school diploma required. Reception experience strongly preferred. 1-3 years of office work; legal support role experience is preferred. Solid working knowledge of office applications, such as Microsoft Office Suite, Outlook, Word, Excel and PowerPoint. Strong organizational and administrative skills with meticulous attention to detail. Excellent communication and interpersonal skills needed to interface with high-level internal and external clients. Ability to prioritize workload, deal with urgent client service needs, and must be able to independently manage multiple tasks in a fast paced environment. Must be a team player and use firm resources effectively and efficiently. Must maintain professional contact with clients, attorneys, staff and vendors, while observing confidentiality of client and firm matters.
