Legal Assistant The candidate will play a vital role in the project, particularly in the areas of client communication and case management. Demonstrates an attitude and behavior that reflects the values and mission of the clinic, the School of Law, and the university. Assists in the day-to-day activities of the Oklahoma Innocence Project. Processes and maintains without disclosure and utilizing approved procedures confidential information or issues concerning personnel, budget, students, alumni or operations, referring matters to supervisor as required. Answering phones and responding to calls and letters from clients, their families, potential new clients, and the public. Sorts, opens, logs and distributes incoming mail to staff; attaches incoming correspondence to legal case file and related materials needed for action. Coordinates delivery of mail and special campus deliveries. Prepares and maintains legal case files for students and staff. Compiles data from various sources for incorporation into special and periodic reports. Inputs, retrieves, updates and deletes information using computerized databases. Remains current on all software and procedures required by position. Proofreads and corrects prepared materials for correct grammar, spelling, punctuation, format, syntax and content. Composes routine letters and memoranda and prepares reports using knowledge of work area instructions and guidelines. Creates and/or changes forms, instructions and notices used in promoting office procedures and policies. Reviews and files state and federal pleadings. Creates physical and electronic files and maintains organization of same following established procedures maintaining security of same. General bookkeeping, including reviewing invoices, drafting checks for signature, and account reconciliation. Coordinates tasks with students, student workers and volunteers (if applicable). Assists director with class forms and records coordinating with law school registrar as required. Coordinates departmental expenditures with supervisor and director of financial and administrative services. Serves as building coordinator. Ensures completion of maintenance and housekeeping work orders. Maintains inventory of departmental office supplies. Coordinates with law technology and outside vendors concerning equipment repair and troubleshooting. Remains current with departmental and law school policies and procedures and has familiarity of other functions and departments with the university. Other duties as assigned. An associateâ€™s degree or equivalent is required. A bachelorâ€™s degree is preferred. Should have 3+ years of experience as a legal assistant, paralegal or legal secretary is required. Familiarity with state and federal court systems including CMS/ECF and PACER is required.
