Legal Assistant The candidate will prepare matters received from the field for attorney/paralegal to review including requesting lease file, checking for existing legal files, confirming landlord entity signature block, checking status of tenant entity, printing site plan and confirming whether or not property is owned by a co-investment partnership or encumbered by a mortgage. Open and track leasing matters using matter management software; prepare reports using matter management software; assist in tracking legal invoices for payment including communication with outside law firms. Organize filing and maintenance of legal files and process documents to be placed in the lease files and closing binders as necessary. Revise and edit leasing documents per instructions from attorney/ paralegal. Prepare correspondence and process mail. Process expense reporting and reimbursement. Coordinate travel arrangements when necessary. Must have a High School diploma or equivalent. Should preferably have Associate’s degree or some college coursework completed. Should have 3+ years of experience working as a legal assistant or executive assistant. Must possess advanced level proficiency with Microsoft Office software including Excel, Word and Outlook. Basic knowledge of legal document terminology is required. Commercial real estate experience is preferred. Must possess excellent interpersonal skills and have the ability to communicate effectively with all levels of management, both verbally and in writing.
