Contracts Coordinator Duties: Manage all IP contracts for BDPS products and services for U.S. and Canada (e.g. Consulting Agreements, CDAs, MTAs) Manage new IP contract agreements requests and timely issuance of BD agreement document to customer. Review and comment to customer agreements templates, as required. Maintain records and reporting systems for new agreement requests and agreements currently under negotiation to track and manage to completion. Issue summary report on a monthly basis. Manage escalation of customer edits within the commercial team and legal team, as appropriate. Manage prioritization of agreements as requested by management. Compile and maintain a complete list of historical agreements in place with BDPS customers in NA and Canada. Proactively track expiry and identify agreements that will expire within current fiscal year. Interface with counterparts in contracts management in other regions, as needed. Facilitate commercial agreements review process with key internal stakeholders. Manage new commercial agreements requests and timely issuance of BD agreement document to customer. Summarize critical redlines and organizes contracts review meetings, as needed. Coordination and follow up with all departments for feedback to drive reduction of serious delays in overall lead time on agreements. Maintain records and reporting systems for new agreement requests and agreements currently under negotiation to track and manage to completion. Issue summary report on monthly basis. Manage prioritization of agreements as requested by management. Provide feedback to enhance contracts management processes for continual improvement. Plan, organize customers’ interfaces (calls, prospecting calls, day to day calls…) by himself/herself, with accounts to facilitate timely closure of agreements. Establish efficient working relationships with all customers’ contacts in a favorable manner. Provide a high service level to the customer. Develop knowledge of accounts in their area of responsibility and the key decision making personnel within these accounts. Recognized as business liaison for BDM PS regarding contractual issues, which are brought to the attention of the company’s legal counsel. Participate in internal and external management meetings when requested by BDM PS management. Manage and support special project initiatives as assigned.

Qualification and Experience

Qualifications: BS / BA degree required. 5+ years professional experience with 2+ years in contract management or as a paralegal managing contracts required (IP preferred). Proficiency with MS office tools (Word, Excel, PowerPoint, and Outlook) required. Proficiency working with iCertis, or a similar Enterprise Contract Solutions system required. Strong analytical and interpersonal skills, work independently and in a team setting. Strong business acumen with the ability to build relationships across the business and clients, and collaborate cross-functionally. The ability to prioritize multiple tasks, organize, and work both independently and as part of a team is essential. Strong attention to detail and place importance on accuracy of information is a must. High degree of self-sufficiency; can operate with little guidance, while still escalating issues/seeking guidance appropriately. Successful track record setting up and maintaining relevant trackers, creating periodic reports for agreements to expire, up for renewals, etc. Potential and desire to develop and grow with increasing responsibilities.
