Client Relations Coordinator Duties: Answer and direct all incoming calls within the third ring. Distribute phone messages by e-mail to other team members, and distribute all incoming mail and other packages. Warmly greet all clients, vendors and prospects that visit the office. Announce their arrival immediately to the person who will be meeting them. Prepare and maintain coffee, decaffeinated coffee, hot water carafes, cold water and tea in the reception area for the visitors. Offer and serve refreshments to visitors. Register Seminar attendees in the appropriate Seminar Registration sheet, and enter the information accurately in the Prospect database on the same day. Follow database scripts and data entry guides in the software manual. Keep the reception lobby and conference rooms clean and organized at all times. Explain Pre-Consultation Form to all prospective clients. Schedule appointments for professionals in the office as directed. Make every effort to reschedule appointments for prospects that call to cancel; Use the Cancellation script when prospects refuse to reschedule; Immediately report any cancellations to Supervisor and/or the Marketing Coordinator. Participate in weekly staff meetings, including providing input to law firm operations and procedures. Greet guests at firm events and assist guests with registration and setting appointments. Perform other duties as assigned by Supervisor.

Qualification and Experience

Requirements: College degree and/or paralegal certificate. Strong customer service background in a professional environment. Detail oriented, efficient, and organized. Excellent word processing, typing, spelling and grammar skills. Warm, friendly, professional, courteous, poised, confident, and sympathetic. Quick learner, comfortable with uncertainty and change. Able to work in a fast-paced environment under the pressure of multiple deadlines. Strong work ethic and self-motivated. Dedicated to accuracy and on-time performance. Good ability to proofread.
