Contract Administrator I - Equipment Finance
Duties: Document new standard, commercial leases and loans originated by Commerce Bank typically in dollar amounts from $200K-$5M with varied equipment types for municipalities, schools and other tax exempt entities as well as tax based commercial entities. The responsibilities for this position are varied, but are primarily described as processing Lease and Loan Documentation Requests, including making sure all approvals and conditions of approval are met, reviewing lease and loan document requests in order to input into our computer system customer data, lease or loan information and vendor assets and invoices, selecting and preparing loan and lease sets of documents with customer specific requirements including financial covenants and financial statement reporting, transmitting document packages to our customers and return thereof, tracking receipt of any outstanding items including invoices, assembling customer file, preparing documents and the file for funding review, verifying insurance coverage on financed assets, preparing and perfecting a lien in the collateral through such methods as UCC filings, motor vehicle filings and other appropriate methods. Responsible for preparing documents reflecting amendments to a portfolio transaction for a casualty or other mid-term event. Post document requirements include following for, reviewing and approving insurance certificates. Ancillary responsibilities include maintaining active UCC filings for the portfolio and filing UCC terminations for transactions at maturity, and posting fully executed documents to the CBIEF website.

Qualification and Experience

Qualifications: Bachelor’s Degree or paralegal or legal secretary degree or 3 years of relevant industry experience relating to document creation ideally in a mid ticket ($200K-$5+M) commercial equipment loan or lease environment for a financial institution or law firm. Certifications/Technical Knowledge/Skills Proficient in Word, Excel and Outlook, superior phone skills, attentive to detail, basic knowledge of general principles of accounting, organizations skills such as ability to multi-task, manage time, and adjust to (and manage) rapidly changing priorities. Ability to type at least 40 words per minute. Should work well in a fast-paced environment with exceptional attention to detail. Knowledge of general legal principles related to contract work and perfection of lien issues through the Uniform Commercial Code and motor vehicle titling laws. Ability to quickly learn and properly apply bank policy to various different factual scenarios and to learn various bank systems used to create loan documents. Good analytical and logical skills are required. Ability to manage many diverse job functions simultaneously, work independently and manage time properly is required.
