Administrative Assistant The candidate provide administrative support to the Practice Assistant Services Department. Enter and process data including timesheets, approval forms, expenses, vendor invoices, purchase orders, new business intake, docketing, etc. Photocopy, scan, fax, print and organize documents. Route internal mail and documents. Prepare and transmit basic correspondence. File management and maintenance (hard copy and electronic). Coordinate and distribute proformas and invoices (if applicable). Schedule meetings and coordinate reservations for conference rooms. Maintain contact databases and distribution lists. Coordinate event registration and travel arrangements. Track and report work assignments. Maintain strict confidentiality of the firm's internal and personnel affairs. Other administrative tasks as assigned.
Qualification and Experience
The candidate should have a must have high school diploma or GED equivalent. Experience working in an office and/or law firm setting is a plus. Associate degree or additional postsecondary education is a plus. Basic understanding of accounting is a plus. Must demonstrate strong interpersonal and customer service skills. Strong attention to detail, ability prioritize, take initiative and follow up. Strong grammar, and proofreading skills. Clear, effective, and professional verbal and written communication skills. Demonstrated proficiency in common office applications, such as Microsoft Office Suite and Adobe Acrobat. Must accurately type 50+ wpm. Ability to comprehend and carefully follow verbal and written instructions. Ability to prioritize daily responsibilities and special projects to meet deadlines. Must be flexible, take initiative, and follow-through. Must demonstrate ability to work independently and as a member of a team. Must maintain a calm, courteous, and professional demeanor. Must be a constant learner with a willingness to learn new skills. Prompt, regular, and predictable attendance.
