Legal Administrative Assistant The candidate will include providing comprehensive and efficient administrative and secretarial support, preparing and editing the correspondence of legal documents, and calendar management including scheduling court appearances and depositions. Scheduling of Court appearances and depositions; calendaring same. Assisting attorneys in drafting, proofreading, redacting, and editing (i.e., “redline”) various documents and contracts for correct spelling, grammar, punctuation, format, and content. Answering telephone and routine questions from clients and team members and/or routed calls to appropriate staff members. Assisting with the organization of client materials and attorney work products within our document management system. Reviewing and editing pre-bills, ensuring they are ready for attorneys’ review and approval. Ensuring that the clients’ billing requirements are correctly set up. Inputting and editing attorneys’ time. Maintaining attorneys’ client contact information. Submission of new business intake and assist with running conflict checks, opening and closing of client matters. Performing administrative duties, such as client file management, general correspondence, expense reports, check requests, etc. Efficiently and thoroughly understand how to use all necessary Firm software. Scheduling appointments and meetings and keeping appointment calendars for the candidate’s team of attorneys. Must possess a minimum of 3 years of experience as a legal administrative assistant with a focus on litigation. Trial experience and preparation are highly preferred including Litigation in State and Federal courts. Should have experience in E-filing documents with Federal and Florida State Courts. Should have excellent communication skills – written and oral; strong organizational and time management skills; detail-oriented; client service oriented; advanced knowledge of MS Office applications, including Word, Excel, Outlook, and PowerPoint with the aptitude to learn other systems/programs. Experience in iManage (FileSite/DeskSite) is a plus; I advanced Adobe professional and Adobe Acrobat; ability to file documents in State and Federal courts; strong analytical skills; ability to multi-task and work well under pressure and meet deadlines; ability to work independently and as a team; effectively communicate and integrate with clients; High school diploma from an accredited institution; 3 years of law firm experience preferred. Availability for overtime as needed.
