Legal Executive Assistant The candidate responsibilities will include: Provides Executive administrative support including assistance with department goals, meetings, budget, resource planning, travel, etc. Manages calendars of Executive to balance efficiency and accessibility both within and outside the organization. Anticipates materials and technology resources needed for meetings. Handles incoming phone calls and correspondence, identifying critical items for action. Quickly prioritizes and initiates preliminary materials needed by Executive. Is familiar with the unique aspects of Executive’s department and responsibilities to effectively process incoming information. Responsible for a variety of administrative duties including timely preparation of Executives’ expense reports, the payment of invoices (e.g., law firms, legal contractors, etc.), scanning and electronic filing of documents, tracking of department budgets; coordination of travel arrangements; preparation of correspondence, reports, agendas, and production of high-quality presentations for use internally and externally. Interacts with Accounting Department on Executive’s expense reports and processing of invoices. Provides technological support on an on-going basis; uses internet-based meeting programs; is familiar with Boardvantage (a plus); arranges calls and webcasts in conference rooms or from the desk and is a proficient user of Microsoft Office to support the work of Executive. Responds to those inside and outside the organization with professionalism, integrity and respect. Is discreet and understands the personnel, organizational and legal impacts of the information they handle. Maintains appropriate confidentiality of information. Interacts well and coordinates efforts with the CEO and other Senior Executives within the organization. Provides back-up support for other administrative assistants on an as needed basis. Maintains contact and team information regarding several key constituents for the SVP, General Counsel and Corporate Secretary including the Board of Directors. Sees that all matters requiring attention in the absence of the Executive are handled or referred to the proper person within the Legal Departments or the organization promptly. As directed assists with preparation of Board scheduling and materials and organizes and disseminates materials for these meetings as needed. Manages special projects for Executive as directed. Available to quickly assist in urgent matters such as time-sensitive issues that come up in the Legal department. Prepares initial drafts of legal letters or documents at direction of Executive. Other duties as assigned. High School diploma required, Associates Degree or equivalent preferred with 10+ years of relevant experience required. Experience in similar position is highly desirable. Law firm experience highly preferred. Must have strong typing skills.
