IP Legal Assistant The candidate will assist attorneys and paralegals as duties are assigned. Will support the Foreign Filing Intake Group by filing U.S patent applications for our non-U.S./Foreign Associates. Process the filing of new US patent applications. Maintain knowledge of filing requirements, patent prosecution procedures, renewal data, expiration data, etc. Prepare and review appropriate correspondence from foreign associates and to clients regarding new applications, formal requirements, filing details, etc. Provide follow-up service regarding due dates to clients by telephone, e-mail or letter. Responsible for certification/legalization of formal legal documents. Prepare and forward to clients, letters, patent documents, acceptance notices, filing reports, publication information, etc. Process formal documents to foreign associates. Prioritize workload to meet foreign filing deadlines and due dates. Prepare correspondence and perform clerical duties necessary to complete the foreign filing process and maintenance of foreign files through grant. Maintain foreign filing docket and remind attorneys as necessary for work assignments. Maintain a high-quality work product and ability to schedule work to meet department deadlines and perform job responsibilities under pressure efficiently, productively and in a professional manner. Analyzing incoming mail, faxes and other information for pertinent data and relays that information to clients and timekeepers as needed. Ordering formal drawings from draftsman and certified copies from the U.S. Patent and Trademark Office. Prepare Client Matter Request forms for new cases including docketing of all incoming cases. Fax acknowledge order letters/incoming mail/faxes from foreign associates and review documents for completeness. Docket deadlines for application order letters from foreign associates and for filing of Missing Parts when notices are received from USPTO. Arrange for translation of documents if necessary, reformat patent applications to US form and prepare formal documents to be forwarded to foreign associates/clients and USPTO. Prepare US Patent Applications for filing with USPTO (ADS/Transmittals, Declarations, Assignments, Formals Drawings, Information Disclosure Statement and PTO/SB/08A, Preliminary Amendments). Preparation of Missing Parts of Application for filing with the USPTO. Prepare reporting letters and invoices for forwarding to the foreign associate. Prepare letters to foreign associates forwarding reminder of Missing Parts of Application, Filing Receipts, Recorded Assignments and Published Applications. Prepare Request for Correction of Recorded Assignments. Prepare Request for Correction of Filing Receipts. Miscellaneous other duties as assigned.

Qualification and Experience

The candidate should have 2 years foreign patent-related experience. College degree or an equivalent amount of legal experience required. Must have experience with US patent application filing process (Electronically/Via Express Mail). Must have strong clerical skills, including organization, time management and attention to detail. Proficiency in software applications including Microsoft Word, Outlook and Excel, IPDAS, document management systems, and automated docketing systems is required. Knowledge of U.S. patent prosecution procedures and/or law firm experience required. Excellent organizational and general administrative skills necessary. Must have excellent verbal, written, and interpersonal communication skills.
