ProfileLegal Secretary Duties: The candidate, under the general supervision of the Legal Support Supervisor I, will independently and effectively work for two to four attorneys. Will perform the following duties for Office of the Director (OD) attorneys in all forums including administrative, state and federal trial courts (within California and elsewhere), state and federal Courts of Appeal, California Supreme Court and the United States Supreme Court. Use MS Word to prepare a wide variety of legal documents such as pleadings, briefs, opinions, complaints, administrative decisions, orders, and subpoenas from verbal or written instructions, dictation, shorthand notes, rough drafts, or other materials. Proofread and correct prepared materials for correct grammar, spelling, punctuation, format, and content. Review legal documents to ensure they are in proper format and contain all necessary portions or related documents for court acceptance. File legal documents with proper courts. Prepare and assemble materials, documents, and exhibits for meetings, court appearances, and hearings. Independently set up depositions, administrative hearings, and telephone conferences. Establish and maintain office files, logs, and other information in connection with the work under the control of the assigned attorney(s). Maintain calendars for assigned attorney(s) to ensure no scheduling conflicts and to inform attorney(s) of court imposed deadlines. Makes travel arrangements followed by computerized expense reporting for attorneys. Request and pull all necessary case files for Attorneys. Answer and screen telephone calls, take messages or refer to appropriate attorneys. Perform other duties as required.
Qualification and Experience
Qualifications: The candidate must have 1 year of experience in the California state service performing the duties of a Senior Legal Typist, Range B OR 2 years of experience in a private law firm, corporate law office, or a legal program in a governmental agency performing a full range of legal secretarial duties, which requires the preparation of legal documents for filing and service. Should be knowledgeable in filing/e-filing documents in Superior Court, Federal Court, and Court of Appeal, be familiar with rules of court and local procedures.
