ProfileAdministrative Assistant The candidate will be responsible to receive incoming calls and assist callers, route calls or take messages and place calls. Maintain strict adherence to Firm’s filing system; file documents for all files accurately and promptly. Sort incoming mail, date stamp and route in a timely manner. Scan letters and documents and prepare outgoing correspondence/packages. Prepare client portfolios for estate planning documents and corporate books for entity formations. Schedule signing ceremonies and organize original documents for execution at signing ceremonies. Blue back and package original documents for post-signing delivery to clients. Prepare daily mail, including certified or registered mailings. Notarize and witness documents, as necessary. Ensure sufficient amount of office supplies are on hand at all times. Ensure timely signing and delivery of birthday and anniversary cards monthly to intended recipients. Prepare invoice cover letters and mail invoices on a monthly basis. Assist Managing Attorney with all clerical and client-related needs in a timely and prioritized manner. Maintain office Outlook calendar and update daily with Managing Attorney’s calendar and Attend to miscellaneous needs such as managing appointments, scheduling luncheons and responding to invitations for Managing Attorney.
Qualification and Experience
The candidate must have 5+ years relevant work experience. Should be conservative professional appearance and positive, friendly disposition. Motivated self-starter capable of learning and applying new concepts quickly. Excellent organizational skills and superb multi-tasking ability. Articulate and intelligent communication style. Strong administrative support skills; and Must be fluent in Microsoft Word, Excel and Outlook.
