Paralegal, Employment Law The candidate will be providing legal support for day-to-day immigration matters, including: coordinating with global external counsel regarding visa and work permit applications and renewals; collecting, organizing, and processing all relevant immigration documentation; communicating with all necessary parties regarding visa and work permit applications and renewals; maintaining an immigration tracker to include all relevant details in respect of outstanding immigration requests; coordinating with internal employment counsel on more complex immigration requests; coordinating with outside counsel to create yearly updates of basic immigration laws in critical global locations including USA, Canada, Switzerland and Singapore; assisting employment counsel in creating and updating educational PowerPoint presentation to assist employees in understanding the visa and work permit process from start to finish; reporting to the Companyâ€™s General Counsel on immigration status for senior executives; and responding to questions or concerns on immigration matters. Managing the day-to-day aspects of the Companyâ€™s compliance activities, including: managing the Companyâ€™s compliance management program (assisting with the program launch in Q2 2018, and once launched, monitoring on-going compliance activities and auditing submissions); managing the Companyâ€™s ethics hotline (responding to simple reports; delegating reports for which investigations are required; preparing quarterly reports for auditors; and managing hotline integration projects when new brands are acquired by the Company); coordinating the Companyâ€™s quarterly compliance training delivery (working with employment counsel to develop training content; uploading the content to the Companyâ€™s learning management system and enrolling learners; preparing Company communications announcing the launch of the training and coordinating with the Communications team for dissemination; and responding to employee questions or concerns related to the training); managing the Companyâ€™s quarterly compliance committee meetings (preparing the agenda and disseminating to internal counsel for comments; ensuring that the meeting invite is sent and that the invitees match the current committee membership; coordinating with invited guests and presenters; taking minutes; updating and disseminating the compliance committee calendar). Providing legal support for ad-hoc employment law matters as required. Should have post-secondary degree or diploma in legal administration, law clerk or paralegal studies or related field from an accredited College or University. Must have previous legal clerking or paralegal experience at a law firm or in-house legal department. Experience in an employment or immigration practice group is an asset. Strong organizational, administrative and communication skills are a must. Knowledge of Excel and PowerPoint is a must. Multiple language skills (Portuguese, Spanish) a plus.
