Contracts and Operations Specialist The candidate will be reporting to the Senior Director, Business Operations and Portfolio Management. Will be providing contract administration, compliance, financial, and operational support to the members of the company. Take initiative, use discretion, and judgment as related to confidential matters. Responsible working closely with team members to effectively and efficiently support initiating, negotiating, and executing confidentiality agreements, consulting agreements, sponsored research agreements and other agreements. This support may include using contracts database (ICD) to monitor contract expirations and prepare necessary extension documents. Manage new vendor set up within systems for executed agreements, as needed. Other responsibilities may include: coordinating, tracking, and following through on the Health Care Compliance process. Responsible supporting procurement activities relating to the day-to-day operating expenses for the California Innovation Center. This work will include working with the California IC team members and individuals supporting enterprise-wide financial processes. Work directly with all systems needed to support CA IC related payments, including supplier management (ARAVO), eMarketplace, and payment systems (ARIBA). Responsible for supporting, creating, and monitoring compliant payments. Support and ensure compliance with business operations processes relating to deal flow, deal review meetings, financial and executive reporting, and the business systems supporting these processes. Such processes include, uploading documents and entering contractual and financial data to CRM, ICD, and other systems as required, following up with team members to ensure accuracy of system data, completing data requirements from finance teams to support reporting. Provide ad-hoc support and coverage for key administrative responsibilities and for partnering with external parties at conferences and events. This may include meeting scheduling/logistics, travel arrangements, calendar coordination, expense reimbursement, program management and other duties relating to office operations. Stay informed with regards to company policies, procedures, and guidelines relevant to the functioning of the groups. Interact with various levels of management on a day to day basis, handling very confidential documents and materials.

Qualification and Experience

The candidate should have Bachelor's degree. Must have 5+ years of professional working experience. 2+ years of experience is required in any of the following areas: contracts management, paralegal/legal assistant, finance support, and/or procurement support. Familiarity with pharmaceutical and/or biotechnology terminology is preferred. Experience in contracts administration and/or paralegal duties preferred. Should have strong communication skills and experience with Microsoft Office software (MS Word, Outlook, Excel, PowerPoint, etc.) is required. Experience with SalesForce CRM Software, Ariba PO Processing and/or gXRS Expenses Reporting, or similar systems is preferred.
