Sole practitioner seeks a permanent, part-time (up to 25 hours per week) legal assistant / office manager with at least 2 years of college and 2 years relevant experience for small, sophisticated Walnut Creek trusts & estates practice. Congenial atmosphere. The firm offers flexibility with the opportunity to develop paralegal skills and possibly work into a full-time job. Competitive compensation and benefits. The office is located only 3 blocks from the Pleasant Hill BART station.

Job includes responsibility for managing probate and trust administrations, assisting in preparation of estate plan documents, communicating with county personnel (court, recorder and assessor), and occasionally drafting court documents.

Responsibilities also include office administrative tasks, such as:

- Answering telephone, initial contact with new clients, contact with professionals

- Setting appointments for attorney and maintaining calendar

- Greeting clients

- Opening new client files in accordance with office procedure

- Preparation of fee agreements

- Prepare emails and correspondence

- Follow-up with clients

- Client file maintenance

- Ordering supplies

- Generally handling the management of the office


- Proficiency with MS Word, MS Excel, and Outlook

- Law office experience, computer skills, experience with scanners, photocopiers, office machines

- Must be careful, efficient, very detail-oriented, and capable of multi-tasking

- Must use excellent communication skills (grammar, spelling, writing, proofreading and proficiency with the English language)

- Must have excellent organizational skills

- Must have ability to follow directions and think independently; complete tasks thoroughly and efficiently with a minimum of errors; must be able to admit errors and work with attorney to correct them

- Honesty and clean background essential

Desired Skills:

- Experience with California Judicial Council Forms and Timeslips (or similar time billing program)

- Familiarity with probate court forms and procedures

- Familiarity with county recorder and assessor forms and procedures

- Experience with probate, trust administration and estate planning

- Ability to research cases and codes

Bachelor’s degree preferred, but at least 2 years of college study required

Notary commission a plus

I am a certified specialist in estate planning, trust and probate law, certified by the State Bar of California Board of Legal Specialization. I share office space with another estates and trusts firm who employs other attorneys and support personnel, so our office is very friendly. The office is located very close to Pleasant Hill BART. My current employee has chosen to work in Sacramento, so I need someone with great skills and personality to take her place. I have wonderful clients and really enjoy my job. So long as my employee respects his or her job and takes on the responsibilities of the job, I prefer to work as a team with my employee.
