Secretary - Sr. Secretary - Legal And Patents
The candidate support the Legal and Patents department by preparing legal documents including; license applications and various agreement renewals. Perform secretarial duties as required including; general correspondence, data entry, travel arrangements, maintain personnel calendars, prepare electronic Travel Authorizations, Expense Accounts, Check Requests and Purchase Requisitions. Set up and maintain department files, license and permit files and database. Prepare presentations both in hard copy and PowerPoint, prepare Federal Express electronic paperwork, open and distribute incoming mail, update various library publications, answer phones and record and relay phone messages. Interact with outside counsel and Institute staff. Photocopying, filing, faxing, scanning and other assignments, as required. Requires a high school diploma or equivalent with 6-10 years of experience. College level business coursework is preferred. Must have exceptional secretarial skills with no less than 6 years of secretarial experience. Preferably in a law firm, corporate, or in-house legal department which includes experience with word processing and database software and the use of the usual business machines (typewriter, computer, printer, copy/fax/scanner machine, etc.). Must have exceptional communication, comprehension and organizational skills. Must be a self-starter, diligent worker, multi-task oriented, and able to deal with numerous interruptions. Must have the ability to prioritize tasks in a high-stress work environment, ever-changing requirements, and the ability to work well under pressure with little supervision. Must have experience in proofreading and must proofread all work produced. Must be able to be professional on the telephone and take complete and accurate phone messages, pay attention to details and be able to follow instructions. Must be proficient in Microsoft Word, have knowledge of PowerPoint and Excel, data entry experience, and be able to learn new software. Must maintain confidentiality in all matters. Must pass SwRI Clerical tests. A valid/clear driver's license is required.
