Legal Assistant - Intellectual Property
Responsibilities: Working in partnership with Intellectual Property (IP) attorneys, agents, and legal assistants, the IP Legal Assistant is responsible for maintaining an effective daily workflow and independently managing/coordinating IP administrative services to legal function and business clients. Prepares and files U.S. and non-U.S. technical documents that meet legal and country filing requirements of worldwide patent offices. Responds to official requests for information. Manages dockets and correspondence to facilitate timely filings and official responses to actionable due dates. Serves as a resource for workflow practices and processes. Key attributes include analysis and judgment, business acumen, communication, and managing productivity. Act as a statistical and informational resource for businesses in operational and administrative functions related to IP. Manage, interpret, compare, search and retrieve data and legal correspondence in external websites, databases, and corporate and business-specific databases (i.e., USPTO Private PAIR, PCT/EPO websites, internal docketing systems, etc.). Assist attorney/agents, outside counsel, and international agents to procure scientific/technical information from businesses to meet IP deadlines. Interact with businesses in order to independently coordinate information flow and meet business needs. Anticipate need for and prepare technical documents to meet all legal IP requirements of patent offices worldwide. Independently respond to a variety of official requests such as status reports, requests for cited references and others. Generate documents having a high level of scientific/technical content. Generate and coordinate multiple dockets for meeting all US and international deadlines. Capture and maintain IP specific data within corporate patent/trademark/copyright system. Calculate and enter data for all new IP filings including determining correct priority data. Input and track US and international deadlines and responses for pending cases. Create data records for IP acquired from other companies or divested from IP estate, generate reports and contract appendices for divestitures. Assist attorneys and patent agents in interpreting, comparing, searching and retrieving IP information; pull ad hoc reports; (i.e., docket, scheduler, statistics, costs and budget, etc.). Serve as a resource on IP office practices and processes to internal customers (legal organization, business clients) and external customers (agents, outside counsel). Expert resource in utilizing external and internal business specific and corporate systems, websites, databases, applications; i.e., Microsoft Office (Word, Excel, PowerPoint, Outlook, SharePoint, etc.).

Qualification and Experience

Qualifications: Equivalent of High School Diploma with 8+ years of experience within the area of Administrative Support. AA/BA Degree would be ideal. 8-10 years of experience as a Legal Assistant would be preferred. Experience with Intellectual Property (IP) not required but helpful.
