Executive Administrative Assistant-Legal The candidate will provide administrative support and assist with internal legal work, workflow and project management. Will establish and maintain a cooperative working relationship with students, clients, other employees, departments and outside higher level constituents while maintaining professional confidentiality. Manage and coordinate executive calendars. Serve as a communications link to all operating units under the supervision of the Chief Legal Officer within the district, interacting with other employees in carrying out instructions and transmitting information accurately and tactfully. Compose/ legal and other correspondence and documents and reports as requested. Facilitates effective interpersonal communication among personnel and identifies any human relations or work-related issues. Act as Proofreader for legal documents, correspondence, reports, tables, addresses, forms, etc. Relay information to appropriate individuals in the absence of the Chief Legal Officer. Keep detailed records regarding personnel actions, legal issues and supports maintenance of legal database. Track progress of projects and contracts and assist with project management. Assist/research in resolving client/student complaints on problems with services, using diplomacy, perceptive judgment, and discretion to diffuse situations. Function as a Public Notary. May attend meetings to report on issues, record minutes, respond to member requests/needs and prepare copies for distribution. Perform other related duties and responsibilities as assigned. Must have a Bachelor’s degree plus 5 years of full-time, highly-skilled, directly-related work experience, including 3 years in a legal services environment, OR Associate’s degree plus 7 years of full-time, highly-skilled, directly-related work experience, including 3 years in a legal services environment. Ability to: handle contacts with the general public graciously; handle confidential information with discretion; adapt readily to a variety of tasks and situations; understand the dynamics of a large organization; establish and maintain effective working relationships with other employees. Must possess a valid driver’s license and an acceptable driving record prior to driving on district business. Expertise with PC word processing and spreadsheet software is required. Standard office equipment such as word processors, computers, image/OCR scanners, telephones, calculators, fax, and copy machines is required. Ability to: write business letters, summaries, and reports, using prescribed format and conforming to all rules of punctuation, grammar, diction, and style. Communicate effectively with a variety of people, including the general public. Organize and express instructions in a logical sequence to describe how something works or explain how to perform a task.
