Clerk of Court/ Admin. Assistant to Probate Judge The candidate assigns work daily. Prepares, processes, and maintains legal records and documents; maintains court docket and arranges for the transport of mental and chemically dependant patients. Performs routine secretarial and clerical duties in order to maintain effective office operations. Reports to the Judge of Probate and Associate Judge of Probate. Serves as the primary Administrative Assistant of the Probate Judge. Maintains a "Court Register" which is to be published and maintained in current status with all proposed and final form rules promulgated by the Supreme Court relevant to the Probate Court. The register is the responsibility of the Clerk of Probate Court. Provides all employees of the Probate Court with copies of such rules and is responsible for educating employees with regard to such rules. Oversees compliance with NICS, Mental Health Adjudication, and Commitment Reporting Act including all SLED reporting. Supervises and trains new employees in probate law procedures; assigns and coordinates the daily work of subordinate clerks. Performs a variety of complex specialized clerical duties; including but not limited to explaining the legal process to fiduciaries, heirs and beneficiaries; preparing docket sheets; overseeing court schedules, hearing dates and timely submissions of proposed orders, etc. Performs duties of Clerk of Probate Court and Administrative Assistant to the Probate Judge as specified in the S. C. Code of Laws. Prepares processes and maintains legal records and documents, schedules hearings for commitments; coordinates probate statutory law process with clients, physicians, attorneys, hospitals, law enforcement, family members, prepares and coordinates service of legal documents on individuals within statutory time periods. Maintains accurate and complete case files with security and confidentiality. Performs various secretarial duties as necessary; including but not limited to typing letters, court orders and other office communications, notarizing and certifying documents, indexing, entering case data on computer, copying, filing, faxing information, answering the telephone, processing daily mail, receiving office supplies, collects, balances and documents court fees and assists the judge in all court proceedings. Receives, reviews, prepares and/or submits various documents and reports; including petitions, audit reports, judicial summaries, vouchers, legal notices, docket sheets, court reports, orders, accountings, commitment admission forms, judicial commitment orders, orders of detention, transcripts, fiduciary letters, monthly reports, statements and correspondence. Operates a variety of office equipment such as a typewriter, computer, printer, microfilm reader/printer, fax machine, calculator, copier, telephone, etc. Interacts and communicates with a variety of groups and individuals, including supervisors, co-workers, court personnel, state agencies, mental health facilities, law enforcement officers, attorneys, Supreme Court Administrator, county department directors, managers and employees, medical and hospital personnel, counselors, patients and their family members, and the general public. Performs related duties as required. Requires a high school diploma supplemented by 3-5 years of secretarial experience, preferably in a legal environment; or any equivalent combination of education and experience which provides the required skills, knowledge, and experience. Requires a thorough working knowledge of the Probate process, all types of legal causes of action, and matters handled by the Probate Court. Requires an empathetic and helpful mentality and a very strong work ethic.
