Paralegal / Legal Coordinator The candidate will manage and maintain the real estate management software. Will assist with the drafting and completion of lease amendments and subordination and non-disturbance agreements. Prepare correspondence and legal notices pursuant to lease terms and respond to construction issues. Assist with the management and maintenance of the real estate files. Organize materials for board and committee meetings. Prepare, edit, organize, and maintain the minutes of such meetings. Prepare corporate resolutions, regulatory filings, and other documents. Assist with the drafting and completion of various vendor agreements, which includes working with the Operations and Constructions Departments to ensure the agreements are timely and accurately entered into. Manage and maintain the contracts status chart. Assist with the management and maintenance of the contracts files. Assist with the process of managing guest incidents, which involves liaising with the insurance company, the organizationâ€™s designated counsel, the Operations Department and the Finance Department to, among other things, facilitate requests for preliminary discovery, such as preserving surveillance video and other evidence. Assist with management and maintenance of the insurance claims status chart. Assist with the management and maintenance of the insurance claims files. Administrative duties as needed, including assisting with the review and payment of law firm invoices; managing calendars; managing phone calls; and scanning, mailing and organizing Legal files. Must have Bachelorâ€™s degree or paralegal certificate with comparable experience is required. Must have 5+ years of in-house and/or law firm experience combined as a paralegal and/or legal assistant. Should have general knowledge of a legal department and familiarity with real estate matters, corporate governance and contract administration. Must have advanced verbal and written communication skills and ability to effectively communicate in a clear and concise manner to both lawyers and non-lawyers. Should have the ability to develop and maintain record keeping systems and procedures. Should have strong Microsoft Office skills and attention to detail and accuracy with excellent editing skills. Demonstrated experience with a contract or lease management software and corporate governance software is required. Must have a desire to learn, maintain a positive attitude, be a team player with strong interpersonal skills and have the ability to build rapport with business partners. Verification of identity, education, prior employment, and references may be required.
