Legal Support Supervisor I
The candidate will supervise approximately 5 to 10 legal secretaries and other support staff providing a variety of secretarial services to a professional staff of attorneys and paralegals, and establish and maintain positive working relationships and effective communication between professional and support staff. Maintain attendance records and approve absences, overtime and leave usage requests; prepare probationary reports and annual performance appraisals for employees; initiate, prepare, review, and recommend appropriate personnel actions and participate in corrective interviews as needed; recruit, review, interview, and recommend the hiring of new employees; provide orientation and/or training for new employees, and attend and conduct team meetings. Directly perform difficult secretarial and other duties for one or more attorneys or other professional staff and, if necessary, perform case management tasks and back up secretarial team members in the performance of secretarial duties during their absences. Supervise the work of legal secretarial and clerical support staff providing legal support services to a large professional staff of attorneys and paralegals. Perform responsible legal secretarial work in addition to supervision of a legal support team. Directly be supervised by the Legal Support Supervisor II, Legal Support Operations, and the general direction of the Staff Services Manager. Directly supervise, plan, organize, and coordinate the activities of a team of legal secretaries and possibly other support staff providing a variety of secretarial services to a professional staff of attorneys and paralegals; establish and maintain positive working relationships and effective communication between professional and support staff. Operate and use modern office methods, supplies and equipment, which includes personal computers and law-related software programs, printers, telecommunication equipment, calculators, scanning, photocopy and fax machines. Maintain attendance records, approves absences, leave usage requests and make a recommendation for overtime. Prepare probationary reports and annual performance appraisals for employees. Initiate, prepare, review, recommend appropriate personnel actions, and participate in corrective interviews as needed. Recruit, review, interview, and recommend the hiring of new employees. Provide orientation and/or training for new employees. Attend and conduct team meetings.

Qualification and Experience

The candidate should have education equivalent to completion of the twelfth grade, 1 year of experience in the California state service performing the duties of a Senior Stenographer, Legal, Range B or Senior Typist, Legal, Range B. Should have the ability to interact effectively and positively with all levels of staff. Ability to motivate staff, inspire good morale, and work cooperatively with others. A high degree of professionalism, good attendance, accuracy, confidentiality and organizational skills. Ability to meet deadlines and perform well under pressure; assume responsibility for identifying and resolving issues within their span of control; demonstrate a willingness to assist peers, team secretaries, and clerical staff with their workloads; and a willingness and interest in assuming special and new assignments. The ability to communicate well, orally and in writing. Should have knowledge of technical legal terms and various legal forms and documents and their processing; modern office methods and procedures and office supplies, materials and equipment; business English and correspondence; principles of effective supervision and training; department's Affirmative Action Program objectives; a manager's role in the Affirmative Action Program and the processes available to meet affirmative action objectives. Should have the ability to read and write English at a level required for successful job performance; prepare correspondence independently utilizing good English; communicate effectively; follow directions; analyze situations accurately and take effective action; secure and maintain cooperative relationships with all persons contacted in the work; type at a speed not less than 40 words a minute; effectively contribute to the department's affirmative action objectives, demonstrated interest in assuming increasing responsibility, ability to take dictation involving legal terms at 90 words a minute. Should be able to walk for extended periods of time to assist team members and professional staff. May be required to sit for extended periods of time to operate a computer terminal and transcribe tapes from a transcribing machine and stand to photocopy and assemble documents. Must have the ability to lift up to 25 pounds.
