Marketing Assistant
The candidate will provide individual assistance to the CMO and attorneys as requested. Make travel arrangements and perform administrative duties in support of the CMO. Support firm wide budget process. Process firm wide marketing and business development invoices and expenses. Facilitate monthly conference calls and annual department meeting. Compose internal business development communications. Aggregate US and EU media mentions (public relations). Manage firm wide marketing collateral – ensure periodic updates and proper distribution. Collect statistics for metrics regarding the departments achievements and growth. Assist Client Relationship Management team with maintaining the database, including researching. Companies, and entering and cleaning data. Coordinate with photographers on headshot photo shoots firm wide, process invoices and keep record of local photographers in each office. Ensure that the office maintains an inventory of all firm marketing materials and office personnel are aware of any newly published materials. Direct potential clients and other “cold” callers to appropriate attorneys. Supply firm “premium” items (golf balls, t-shirts, hats, etc.) to lawyers as requested. Attend any attorney meetings where needed regarding business development and marketing activities and assist with firm wide business development and marketing activities as requested. Work with the Marketing Director to coordinate all external client events for San Francisco office. Develop budget, make arrangements and coordinate on-site logistics for events, including post event follow-up. Act as a liaison with vendors and outside locations for event facilitation. Assist with the ordering of all food and alcohol for events. Prepare the marketing materials for use at events and coordinate promotional items, mailings, and follow-up. Maintain the office’s inventory of conference display items and signage and work with the Creative Services Manager to produce display items as needed. Write short pieces for the firm's intranet and media releases in support of office events. Process all invoices for related event expenses. Update attorney biographies. Perform administrative duties, including filing and general record keeping. Perform other duties as assigned.

Qualification and Experience

The candidate has Undergraduate degree in a related area, such as marketing or communications is strongly preferred. 1+ year marketing experience in a law firm is preferred. 3+ years secretarial or administrative experience is preferred. Must have ability to effectively and respectfully communicate with other staff, lawyers, management and clients through written correspondence, surveys, memos, etc. Should have ability to deal professionally with both internal and external clients on all levels. Must have ability to respond quickly and sensitively to lawyer inquires, the acumen to know who to contact to get things done, provide quick follow-up and status reports until the process is finished. Should have ability to organize a large amount of data and files into an efficient system (both electronic and hardcopy) for easy filing and retrieval. Must have ability to adapt to changing work priorities, work flow and work assignments. Should have ability to meet project deadlines, work well under pressure and handle multiple priorities while. Should have ability to type accurately and efficiently. Must have ability to work a flexible schedule and overtime up to 15 hours per month to accommodate projects as needed.
