ProfileJudicial Support Specialist 2 Duties: Responsible technical and clerical work performed within the Drive Legal Program. Performs a wide variety of clerical tasks requiring the application of good judgment and clerical knowledge. Assist constituents with a suspended license in resolving all outstanding traffic matters and reinstating their driver’s license by utilizing the Simultaneous Paperless Imaging Retrieval Information Technology system (SPIRIT), the Traffic Information System (TIS), and the Department of Motor Vehicles system (DMV). Operating the Public Service Window Manage the flow of defendants seen at the window using the Q-matic system. Give general information about how the program works. Check individual eligibility for the program using the DMV system. Check whether it is beneficial for a person to enroll in the program using the TIS system. Enroll individuals into the program: (Collect enrollment fee, remove cases from collection agencies using the TIS system, research each case the individual has to ensure it can be enrolled in the program as well as check for previous schools and court costs assigned by judges using the TIS system, dispose cases and assign community service hours, court costs and traffic schools, and process paperwork using the SPIRIT system, explain all policies and procedures, update the Return Court Information on every case enrolled using the TIS system). Close individuals from the program: (Verify all documents for completion, identify all suspensions issued to the person’s license in the DMV system, process paperwork issuing D-6 Clearances for license reinstatement using the SPIRIT system, clear the suspensions in the DMV system, and update all Return Court Information to close all cases in the TIS system). Process payment plans. Process paperwork where case statutes are amended from a Driving While License Suspended statute to a No Valid Driver’s License statute. Remove program violators from the program by manually entering messages on all cases and processing conversion of hours to monies owed in the TIS system. Operating Court Sessions: Give a public speech about the program to defendants attending each session. Verify valid Driver’s licenses using the DMV system. Check each individual’s eligibility to enroll in the program using the DMV system. Check if it benefits each individual to enroll in the program using the TIS system. Give estimates of what each individual’s Drive Legal Program assignment would be. Enter a case action of Nolle Prosse, Diversion Program, or Reset on each case using the SPIRIT Calendar Workbench. Update the Return Court Information (RCIs) for all cases in each calendar using the SPIRIT system. General Office Duties: Retrieve phone calls from voicemail system. Research eligibility and provide assignment estimates for all callers before returning calls. Return calls and set appointments. Respond to e-mails. Process Nolle Prosse list by providing the Driver’s license number and print out to the State Attorney’s office for approval. Alphabetize, process, and file No Valid Driver’s License forms. Screen and process Pulling Reports from which eligible cases are set in Drive Legal’s diversion calendars. Create and submit motions for enrollment fee and court cost conversions. Create and mail letters to individuals whose assignments have changed. Attend meetings and trainings; represent the program in court, and other job-related duties as assigned.
Qualification and Experience
Qualifications: Two years of college or vocational school education in office skills, paralegal or a closely related field, supplemented by 2 years of related experience in general clerical work and customer service; or any combination of education and experience that provides the following knowledge, skills and abilities: Ability to use a personal computer for data input and word processing. Ability to understand and carry out oral and written instructions. Ability to communicate effectively, clearly and concisely, orally and in writing. Ability to meet and deal effectively with the judiciary, court administrative staff, and the general public using good tact and good judgment. Ability to handle a sometimes difficult clientele professionally, courteously and patiently. Excellent interpersonal skills. Excellent organizational skills. Trilingual English/Spanish/Creole preferred.
