Deputy Clerk II (41-3244) The candidate will be responsible for opening and closing CINA, delinquency, and probate cases and the general processing of paperwork. Regular job duties include the following. These may be reassigned within the division based on business requirements. Duties: Accept petitions for filing and open cases; assign judges/masters for new cases; accept filing fees as required and prepare receipt; Issue summons and subpoenas as required; take necessary calendaring action and route cases as required; Process documents and match them with the correct case file; evaluate documents to determine required action; Receive case files as they return from chambers or other offices; review new paperwork and orders to determine necessary action; Process and distribute orders and judgments to parties and agencies; Close case files when appropriate and make necessary computer entry; prepare and distribute monthly statistical reports as required. Register trusts and receive wills for deposit; enter documents in computer; receive filing fees and prepare receipts; Maintain alphabetical index of creditor claims and demands for notice; prepare affidavits and distribute demands for notice in estate cases; Assist customers concerning court procedures and assigned files for Probate and Children's cases; Screen requests and determine proper course of action; answer questions about files and procedures as needed; Maintain documents and forms available to the public; maintain inventory of office supplies and order new supplies; assist in preparing files for microfilm; Cross-train and back up other positions during periods of absence; Work on special projects and perform other duties as needed.

Qualification and Experience

The candidate should have completed graduation from High school or completion of a General Education Development (GED) certificate and 1 year of office clerical experience and the ability to type at least 40 words per minute (net). Substitution: Additional office clerical work experience will substitute for the high school diploma or GED certificate on a month-for-month basis. Completion of 36 semester credit hours or 48 quarter credit hours of coursework from an accredited college will substitute for the year of required office clerical experience. Completion of an appropriate vocational training course of study such as legal secretary, paralegal, or office skills will substitute for the required office clerical experience on a month-for-month basis. Should have experience working with high-priority, confidential, or sensitive information. Must have experience working with the public in person and over the phone. Prior work experience in the legal field is needed. Proficiency with MS Word, Excel, and Outlook is needed.
