ProfileSenior Commercial Title Assistant The candidate will assume primary responsibility for assisting Transaction Managers with coordinating, managing and closing national commercial real estate transactions ranging from single site to high-liability, multi-site commercial real estate transactions. This position will be responsible for all new order entry and fulfillment, paperless file setup, order tracking, invoicing (initial search and all updates), escrow accounting functionality and post-closing functions. The position requires a self-motivated individual with exceptional multi-tasking and project management skills capable of prioritizing time and workloads and meeting established deadlines.At the direction of the NCS Florida Operations Manager, the CTEC shall demonstrate fluency and competency in performing the following national title and closing functions: Open and process new orders in FAST, OTS and paperless files, selection of field providers, including necessary supervision and monitoring of field office and NNC division performance, track order status, quality assurance review of product to ensure commitments is set up in accordance with customer’s expectations and all necessary documents are received, delivery (paper/digital) of commitment and supporting documents to parties to the transaction-Support Closers/Transaction Managers with closing commercial real estate transactions by assisting with administering escrow accounts, making deposits, issuing checks, building and disbursing wires, preparing invoices, routing title comments and underwriting requests, ordering title and tax updates, and assembling and calculating pricing information, recording fees and transfer tax information-Coordinate and assist with the tracking and resolution of customer title comments, underwriting requests, and survey reviews with local, regional and national counsel and local field offices. Assist Transaction Managers with and tracking the satisfaction of commitment requirements, including the preparation of requirements spreadsheets for multi-site transactions-Perform post-closing functions, including supervising the timely recording transaction documents, following up to confirm receipt of same from the local office or clerk, preparation of final policies in accordance with final markups and pro formas, and delivery of same to the parties-Proficiently utilize FAST for all closing and escrow accounting functionality and FAST workflow for prioritization and management of all work tasks. Accurately reporting title insurance premium in FAST and preparing monthly income reports for accounting. In accordance with directives from NCS Florida Operations Manager, coordinate and prioritize the tasks and efforts of other First American National Commercial Services team members and company field offices to ensure highest levels of service are provided to First American National Commercial Services customers and that customer projects are timely managed. Develop leadership skills in accordance with training objectives established with Supervisor-Participate in and help coordinate company-sponsored marketing activities at the direction of management and otherwise professionally represent the company in all business-related communications and engagements.
Qualification and Experience
The candidate should have High School Diploma or equivalent with demonstrated proficiency in mathematics. Should have 3+ years prior real estate experience as paralegal or assistant in law firm or national commercial title and closing operation in the title industry. Must have fluency in First American Title Insurance Company’s FAST proprietary title and escrow platform in a national commercial operational setting; including full utilization of FAST workflow technology and workflow tasking. Should have demonstrated experience in efficiently leveraging First American’s NNC and NPS/CPU production divisions for new open order processing and order placement, commitment conversion, pro forma and policy preparation, etc. Must have demonstrated experience in First American Title Insurance Company’s EaglePro online digital title commitment package delivery system; including initial file/project set up, assigning viewing rights to distributes, etc. Should have proven knowledge and competency in the areas of title fulfillment, escrow/settlement procedures and title insurance principles and procedures as they relate to underwriting and closing national commercial real estate transactions. Must demonstrates fluent proficiency with Florida NCS’ established paperless environment, paperless transaction folder organization, and file labeling protocols. Should demonstrates power-user proficiency in FAST production and workflow technologies. Must have proficiency in Excel with the willingness to embrace technology applications to achieve excellence in customer satisfaction. Superior customer service skills required.
