Senior Legal Secretary Responsibilities : Routinely exercises discretion and independent judgment and takes independent action in the course of performing advanced, diversified and confidential administrative duties. Maintains client confidences by keeping client/attorney information confidential. Prepares and/or composes correspondence, memoranda, reports, presentations and various other documents using a variety of computer software packages. On a routine basis must exercise independent judgment in creating the appropriate format and information to be included in documents. Documents may be routine to complex in the formatting required. Assists manager in writing or editing speeches and presentations. Communicates through email. Without specific instructions, customarily opens, screens, prioritizes managerĘs mail/email and decides how to respond or process. Utilizes discretion and judgment to initiate routine and some non-routine correspondence in response to mail/email as appropriate. Screens telephone calls and visitors and uses discretion and independent judgment to determine appropriate course of action and resolve routine and complex inquiries. Includes handling customer and employee issues and ensuring issues are expedited as appropriate and in a professional manner On behalf of manager, makes high level contacts of a complex and/or confidential nature both inside and outside of the company. Performs as site coordinator for office moves, LAN, telephone system, computer equipment, fax and copier machines. Coordinates ordering and implementation of new office equipment. Researches costs and makes recommendations on purchases, and provides technical support and training on the equipment. Works under general guidelines by manager however exercises discretion and judgment in accomplishing these tasks. Prepares expense reports for manager; reviews expense reports submitted by managerĘs staff and track expenses. Creates and maintains various personnel and project tracking databases. Logs receipt of and files weekly and monthly management reports, vendor activity reports and legal invoices processing. Maintenance and organization, working with corporate records, of legal files and preparation of manager project binders and presentations. Maintains schedulers in Outlook. Coordinates manager travel and meetings.
Qualification and Experience
Requirements : A high school/GED. 5-7 years of corporate legal department or law firm administrative experience is preferred. A broad and comprehensive experience (including legal administrative experience), skill and knowledge of corporate and legal operations, organizational policies, practices and procedures. Documents may be via dictation, verbal, hand-written or in drafts when received. Must be proficient at Word/document management systems/document comparison software and other systems used for the drafting and revision of legal documents. Must be power user of Microsoft Office Suite and working knowledge of Oracle General Ledger and related systems helpful. Must possess excellent administrative and writing skills as well as good time management and organizational skills and ability to coordinate information and schedules. Must be able to create senior executive presentations. Must be able to work independently as well as contribute as a team player when necessary.
