Legal Office Supervisor
Duties: Under direction, to plan, assign, coordinate and supervise the work of one or more units of clerical staff in the District Attorney's Office; to coordinate workflow between assigned clerical units and other department units or divisions; and to perform related work as required. The Legal Office Supervisor classification is the full supervisory level in the Legal Clerk/Legal Secretary classification series utilized in the District Attorney's Office. In addition to supervisory responsibilities of one or more units of legal clerical staff, incumbents may be assigned higher level or complex legal secretarial and administrative duties involving the use of considerable independent judgment and in-depth knowledge of legal processes. Reporting to an assigned Chief Deputy Attorney, incumbents may directly provide or oversee administrative assistance to Deputy District Attorneys in the preparation and/or processing of the full spectrum of legal documents and actions pertaining to criminal law and prosecution. Duties include those described below. Reasonable accommodation will be made when requested and determined by the County to be appropriate under applicable law. Plans, assigns, organizes and reviews the work of one or more units of clerical staff; establishes standards of clerical work performance and sets priorities for workload completion; assists in the development, implementation and revision of clerical procedures and office and automation systems; coordinates workflow between clerical, professional, investigative and other staff; participates in the selection, training and evaluation of subordinate staff; develops and modifies clerical training; reviews the work of subordinates for accuracy, completion and conformance to applicable standards and directs or makes changes as appropriate; maintains records and files; performs a variety of administrative duties for the management and attorney staff; prepares or supervises preparation and maintenance of operational and/or statistical records and reports; prepares and maintains payroll records; may assist in budget preparation; orders and maintains forms and supplies; provides information to employees, other divisions, departments and the public on matters that involve knowledge of departmental operation, rules and procedures; may be assigned special administrative projects, reports or duties; in addition to supervisory responsibilities this classification will be required to perform those duties and responsibilities required in the Legal Clerk series classification.
Qualification and Experience
Minimum qualifications:
Education: Equivalent to completion of the twelfth grade.
Experience: 1 year of experience as a Legal Secretary with Kings County; OR 2+ years of experience as a Legal Clerk II with Kings County; OR 4+ years of clerical experience, at least three of which was in a legal office and preferably including at least one year in a supervisory or lead capacity. (Substitution: Two years of college with course work in business, office practices or related subjects may be substituted for one year of the required non-supervisory experience.)
License: Possession of a valid California driver's license issued by the Department of Motor Vehicles. (Note: Possession of a valid driver's license from another U.S. state or legal territory may be accepted in lieu of a California driver's license. However, depending on County or hiring department requirements, incumbents may be required to provide proof of valid California licensure upon the expiration of a valid out-of-state license.)
Special Requirements: Ability to type at a speed of 45 net words per minute; typing certificate required upon application to County employment. Ability to qualify for security clearance through a background investigation, including fingerprinting. Some positions may require the use of bilingual skills requiring speaking, reading and/or writing fluency in a foreign language.
Knowledge of: Legal terminology, forms, documents and procedures; basic organization, services, programs and functions of the legal system; forms and formatting for legal documents; style/format of business correspondence, punctuation, spelling and general English usage; modern office practices, procedures and equipment; filing and recordkeeping methods; basic elements of effective supervision, including training and instructing subordinates.
Ability to: Organize and prioritize workload and assignments of subordinates; exhibit sound independent judgment; read, analyze, interpret and apply changes in laws, policies and procedures; communicate effectively both orally and in writing; maintain confidentiality of sensitive information; establish and maintain positive work relationships; operate various office equipment including business computers and software utilized in the course of work; follow safe work practices as directed and trained.
