Office Administrative Assistant The candidate will perform clerical and administrative duties that directly support the needs of the Company President/CEO including other executive officers as assigned. Responsible for distribution and delivery of confidential documents and reports. Responsible for all executive mail and required correspondence. Maintains President's daily calendar and itinerary schedules. Responsible for setup and scheduling of key meetings including video conferences. Responsible for maintaining and distributing minutes for key meetings. Compiles data and statistics from different department areas and formulates reports. Acts as a liaison to outside customers, vendors, and government agencies. Responsible for purchasing materials and equipment. Oversees billing/reconciliation of expenses and credit card payments. Generate quarterly electronic newsletters/bulletins. Provide ongoing support to other key members of Senior Management team when necessary. Run daily/weekly errands as needed and required.
Qualification and Experience
A High school Diploma or equivalent required and 10+ years of related experience supporting executive level employees in a corporate or legal office. A Bachelor's Degree in a Business related field or Paralegal degree from an accredited college or university may substitute for 3 years of experience. Should have excellent verbal/written communication skills, organizational and time management skills. Ability to run Excel spreadsheet reports, and processing Word documents and correspondence is needed. Strong phone skills and email etiquette required. Should have knowledge of MS Windows 7 and MS Office 2010 - including Word, Excel. PowerPoint, Outlook, Sharepoint, and One Note; Video and Teleconference equipment; Canon copy machine.
