Bankruptcy Legal Secretary The candidate will be responsible for accurate completion of work assigned by multiple timekeepers, including word processing functions, filing, client billing, time entry, using telephone equipment to answer incoming calls and to place outgoing calls, coordinating meetings and conference room services, arranging Travel, submitting expense reports, calendar Maintenance and handling of daily mail. Also responsible for maintaining various information lists including client/matter identification numbers, lawyers' contacts and Marketing mailing list. Legal secretaries must also maintain positive contact with clients, lawyers and all support Staff. Proofread all work, which includes reading documents for content and context. Duplicate documents, papers and other materials as needed. Prepare client bills, maintaining billing files, working with Accounting Department to resolve billing problems and efficiently processing final billing statements and letters. Maintain accurate and up-to-date databases such as contact lists, client/matter numbers and Marketing mailing lists. Schedule meetings, arrange for conference rooms and request conference room services for meals, beverages, a/v equipment and schedule outside vendor services such as court reporters or expert witnesses. Coordinate timekeepers' calendar with own and reminding of various meetings, appointments, and court dates. Make Travel arrangements, including air transportation, Automobile rentals and hotel reservations. Obtain cash advances and prepare and submit proper expense reports to the Accounting Department. Assist as a backup replacement Secretary for other timekeepers in the absence of their regularly assigned Secretary. Assist other secretaries with overflow work. Greet clients and provide assistance when needed.<br /> <br /> The candidate must have 5+ years of experience in various practice areas, primarily with strong expertise in the Bankruptcy arena. Knowledge of Windows XP system and Microsoft Suite of applications is required. E-filing knowledge is required. Hummingbird DM (document Management system) knowledge is preferred. Should type 65+ wpm. High school diploma or its equivalent required or Certificate or Degree from a Business School is preferred.
