Attorney / Estate Planning / Estate and Trust Administration Duties: (i) Schedule and prepare for estate administration consultations, (ii) prepare various probate and trust administration documents, (iii) confirm and inventory the type, title and value of trust and estate assets, (iv) calendar dates and deadlines relevant to estates and trusts, (v) maintain tax return calendars for trusts and estates, (vi) manage database tracking client information, correspondence, tasks, and updates, (vii) correspond with clients via email and phone to answer general and specific questions, seek status updates, track progress of administrations, and assist with retitling of assets; (viii) correspond with financial institutions to coordinate asset transfer and distributions; (ix) assemble and prepare information required for tax compliance related to estate and trust administration. Estate planning aspect to (i) follow step by step instructions provided by the attorneys for the preparation of estate planning document drafts and eventually diagnose and prescribe said steps, (ii) prepare documents and funding instructions to assist other attorneys and clients with the re-titling of various assets (i.e., real estate, stocks, bonds, mutual funds, etc.) in order to achieve clients estate planning objectives, (iii) prepare final estate planning documents for execution, and (iv) maintain client files by keeping detailed and accurate records related to new and existing clients and utilizing firm software to update and track client activity. Provide administrative support to other attorneys such as to (i) manage correspondence and paperwork for the Estate Planning and Estate Administration Department, (ii) provide information for client review meetings, (iii) answer telephone inquiries including pre-screened and direct phone calls, (iv) maintain business and personal calendars to schedule internal and external meetings, and (v) handle other miscellaneous tasks/projects as assigned.
Qualification and Experience
Qualifications: JD Degree. Preferred in addition: MBA, CPA, LLM. 5+ years of experience as an Estate Planning, Trust and Estate and/or Elder Law Attorney is required. Preferred: Experience with either a Financial Planning Firm, Accounting Firm, Financial Institution, Life Insurance Company or Investment Firm. Excellent computer skills are required, with a good working knowledge of the latest Windows versions, Microsoft Word Excel, internet skills and management software skills. Energetic, highly professional, team-oriented person who is a fast learner and committed to excellence. Must have a high level of attention to detail, excellent communication and organizational skills, the ability to follow instructions and manage multiple tasks. The ability to effectively meet and interact with clients is an important aspect of this role. Evidence of these abilities and references will be necessary. Representation of the other attorneys and the law firm with its clients using poise, tact and professionalism is required; as is the maintenance of strict confidentiality.
