Senior Legal Assistant Duties: Provide administrative and secretarial support to the SVP, General Counsel and Secretary and Senior Legal Manager. Provide administrative and secretarial support to the SVP, General Counsel and Secretary and Senior Legal Manager. Provide secretarial support and administrative assistance to the SVP, General Counsel and Secretary and Senior Legal Manager. Tasks include: answering the phone and accurately forwarding calls and delivering messages; making and coordinating travel and meal arrangements for law department staff and for Board/Committee meetings; typing and composing correspondence; organizing meeting materials and scheduling meetings as directed; prepare and process expense reports; prepare purchase requisitions; compile monthly reports. Routine office work to include: printing, copying, and scanning of documents; faxing or emailing documents; and maintaining office equipment – scanner, printers, copy machines. Maintain filing system and perform all required record retention activities. Provide logistical support for all Board/Committee meetings – tasks include: ordering food/beverages; assist with meeting rooms set-up and tear down; assist with preparing Board/Committee hard copy packages; maintain Director travel spreadsheet; arrange for hotel and airport transportation; assist with preparing meeting schedules; assist with tracking Director attendance and distribution of compensation materials; assist with Director information binder updates on electronic portal.. Assist with bi-annual update and distribution of Directors and Officers pocket directory. Scan and save signed Board/ Committee minutes to electronic files; file originals and distribute to auditors. Responsible for maintaining law library. Perform legal research as directed. Submit vendor invoices for payment; prepare purchase requisitions for recurring vendors. Assist with general office management tasks – greeting guests, delivering mail, covering for other administrative assistants. Perform other duties or functions as directed by Supervisor.
Qualification and Experience
Qualifications: High School Diploma or equivalent. Associate’s or Bachelor’s degree a plus. 5+ years’ experience as legal secretary or administrative assistant required. Corporate law department or law firm experience required. Experience with electronic board portals preferred. Excellent typing and computing skills required. Excellent knowledge of and proficiency with Microsoft Outlook, Word, Excel and PowerPoint required. Knowledge of Serengeti tracker and SAP preferred. Ability to interact professionally with all levels of management (including Board of Directors) and outside law firms. Ability to work well under pressure. Ability to handle confidential matters discreetly. Must have strong proofreading skills and be detail-oriented. Must be well organized and work independently on some projects. Ability to work occasional overtime and travel occasionally. Must be team-oriented. Ability to manage time efficiently and prioritize tasks with minimal supervision. Ensure work is in compliance with Olin policies and professional standards. Meet or exceed Olin requirements relating to deadlines and attendance.
