Event Coordinator Duties: Responsible for supporting firm-wide event needs. Works collaboratively with attorneys and other members of the marketing and business development team to develop, manage and execute close to 200 firm events, seminars, sponsorships and webinars annually. Establish goals, objectives and agenda for each event/seminar/sponsorship/webinar. Establish project plans/schedules and manage all tasks against stated deadlines. Work with the Database Coordinator to develop event specific lists that drive the client communication/invitation and ultimate follow up process. Provide direction to internal graphic design team to produce event specific materials. Drive the client invitation process and work with the digital marketing coordinator to create and disseminate email invitations, reminders and follow up emails. Research and recommend venues and meeting space that meet event objectives. Responsible for event logistics from pre-planning through onsite execution. This includes: Venue selection, catering/BEO generation, transportation, signage and print materials, floral, entertainment, and giveaways. Determine and plan against stated budget including post-event reporting. Manage Continuing Legal Education (CLE) process for applicable educational seminars and webinars among various states. This includes applying for event-specific sponsor credit and submitting for attendee credit post-seminar or webinar. Responsible for helping to maintain client data and logging event attendance in our contact management system.
Qualification and Experience
Qualifications: Bachelor’s Degree is required. Legal environment background strongly preferred. 2-4 years of event management or applicable experience. High attention to detail and ability to manage multiple projects and clients at one time. Proficiency with budget creation and management. Proficient in Word, PowerPoint, and Excel. Strong verbal and written skills and ability to adjust communication style based on the audience working with.
